About the role


A highly varied role, the position combines traditional EA and office responsibilities (diary and in-box management and briefings, travel bookings, scheduling meetings, Board secretariat, reporting to funders and compliance) with providing operational support across the organisation.

Roles and responsibilities

Supervised by the Operations Manager, this position will collaborate both internally and externally to implement activities under Health Justice Australia's strategy through:

  • Providing a trusted and effective conduit of information internally and between the organisation and external stakeholders.
  • Executive support including scheduling and coordinating meetings; minute taking; preparing briefings and reports; diary management; travel bookings; credit card reconciliation.
  • Governance administration including scheduling Board meetings, preparing reports, supporting advisory processes.
  • Coordination of reporting and other compliance deadlines internally and externally.
  • Coordination of ICT systems to support operations in the areas of contact and data management and internal communication, including maintenance of CRM (Salesforce).
  • Provide the Operations Manager with administrative support around Human Resources processes (including recruitment and onboarding), ICT, and Finance.
  • Assist the Events and Engagement Coordinator with administrative support on a casebycase basis and as agreed with the Operations Manager
  • Other duties as directed and required
Essential criteria

  • Capacity for high level administrative support, exercising high levels of judgment, initiative, confidentiality and sensitivity in the performance of work.
  • Highly accomplished computing skills, including basic operating systems (Office 365, SharePoint, Word, Excel, Outlook, PowerPoint); managing databases; and identifying and implementing new technologies to support communications, task and project management.
  • Demonstrated capacity and commitment to working collaboratively.
  • Strong communication skills, both verbal and written.
  • Highly developed organisational skills.
  • Demonstrated high level of interpersonal skills in dealing with internal and external stakeholders.
  • Demonstrated ability to exercise discretion and individual judgement.
  • Experience working with CRM systems.
Desirable criteria

  • Experience with using Salesforce
  • Commitment to the values of social justice, and a genuine interest in and awareness of the challenges of improving outcomes for people vulnerable to complex needs.
