The team

The Communications and Corporate Affairs Group (CCA) builds strategic stakeholder relationships to improve awareness and understanding of ASIC's mandate and outcomes.

It manages external, digital and internal communications, stakeholder and parliamentary engagement and delivers ASIC's consumer education and Moneysmart.

The role

As an Executive Assistant, you will:

  • Provide timely, proactive support to the Chief Communications Officer, including diary coordination, the prioritising of information, records management, maintenance of registers, and databases and proof-reading of materials as required.
  • Ensure the executive is well prepared for Commission and Executive meetings and commitments.
  • Ensure compliance with ASIC policy and procedures to provide high level administration support and services.
  • Undertake the coordination of meetings with internal and external stakeholders including the booking of room/s and audio and visual equipment, agenda, documentation and presentation preparation.
  • Coordinate travel and accommodation requests including acquittals and approvals for expenditure for the CCO and CCA leadership group.
  • Provide a range of administration support to the CCA leadership group as required, including meeting support.
  • Working collaboratively with the Business Unit Manager, provide proactive administration support in CCA meetings including, the taking and drafting of minutes, distribution of documentation and the monitoring and follow up of action items.
About you

  • Qualification in office or business management and/or work experience.
  • Demonstrated organisational and time management skills, with the ability to work under pressure, meet tight timeframes, manage competing demands, and maintain confidentiality.
  • Highly developed Microsoft Office (Outlook, Word, Excel, and PowerPoint) skills, and financial management and record management systems (i.e., SharePoint).
  • Ability to build and maintain collaborative working relationships that includes liaising with the ASIC Executive Assistant network and other ASIC team members.
  • Ability to work autonomously, manage priorities, and allocate resources to achieve timely outcomes.
  • Experience and comfort in dealing with a reactive and dynamic work environment.
  • Demonstrated excellence in written and verbal communication skills, with proven accuracy and attention to detail.
  • Ability to resolve problems, demonstrating analytical and decisionmaking capability.
  • Experience undertaking research, reviewing, and editing documents, to assist with the preparation of responses.
