Contracts Administration (Administration & Office Support)

Zweck is an internal Group Services division that partners with Aizer Group. We are seeking to recruit an experienced Contracts Administrator for our partner Aizer Building Solutions. The role can be based in our Brisbane (Tingalpa) or Gold Coast (Burleigh Heads) offices.

About the Role

The purpose of this role is to provide Contract Administration and Project Coordination support to the operations team, reporting to the Senior Contracts Administrator.

The duties and responsibilities as part of this role include, but are not limited to:

  • Assist the operations teams to ensure information captured within business operations management software is accurate and timely (e.g. timesheets, POs, RFQs, quotes submitted, work on hand, claim values, invoices, variations etc)
  • Prepare and coordinate documentation required to assist management and site teams with the delivery of projects
  • Prepare and submit payment claims in accordance with contractual obligations in a timely manner
  • Support the operations teams to ensure variations are captured on progress claims and invoices in accordance with contractual obligations
  • Deliver high level of customer service across all business lead interactions, including engagement with trades achieving best outcomes for clients and the business whilst meeting KPI's
  • Support Project Managers to ensure claims including variations, final claims, progress claims and variations etc.
  • Provide support in the delivery of project cost control, reporting and forecasting.
  • Update internal and external databases and systems
  • Providing timely and accurate data entry for reporting to be delivered on a weekly, monthly and quarterly basis.
  • Intermediate to advanced skills in Microsoft suite and adapting to new systems
  • Assist the Financial Controller in preparing requested financial reporting.
  • Conduct project process and documentation internal audits
  • Assist with analytical assessment of project documentation documents such as head and sub contract agreements.

To be successful in this role you will also have:

  • Minimum of 3 years of experience in Construction
  • Experience working with project management software (Procore or similar)
  • Demonstrated knowledge of construction industry standards and best practice.
  • Strong commercial acumen with a solid understanding of financial concepts for project control.
  • High level of aptitude for systems and processes
  • A positive attitude, personal drive, and performance focus.
