Qualifications:

Bachelor's degree in Administration, Health Information Management, or related field preferred.

  • Previous experience in document management, contract administration, or a similar role, preferably within the healthcare or social services sector.
  • Strong attention to detail and accuracy, with the ability to manage multiple documents and tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with participants, practitioners, and internal teams.
  • Knowledge of relevant regulations and compliance requirements related to documentation and privacy, such as GDPR or HIPAA.

    Role Overview:
  • The Service Agreement & Documentation Team is an integral part of Soaring Health, responsible for facilitating the agreement process between participants and practitioners. Your primary responsibilities will include receiving participant information postallocation, preparing service agreements, managing documentation amendments, and ensuring accurate storage and distribution of participant records. Your attention to detail and organizational skills will be essential in ensuring the smooth execution of service agreements and maintaining compliance with regulatory requirements.

    What you will do:

Service Agreement Preparation:

Receive participant information following allocation by the Allocations Team.

  • Prepare service agreements based on the allocated practitioner and participant details.
  • Ensure all necessary information is accurately documented and included in the service agreement.

Participant Communication:

Send service agreements to participants or their nominees for review and signing.

  • Facilitate any necessary communication with participants regarding the agreement process.
  • Address inquiries and provide clarification on agreement terms as needed.

Communication with Scheduling team:


Upon execution of the service agreement, liaise with the Scheduling Team to schedule the initial appointment between the participant and practitioner.


  • Provide necessary participant information to the Scheduling Team to facilitate appointment booking.

Amendment Management:

Manage documentation amendments by creating and processing amendment documents.

  • Coordinate the signing of amendment documents by practitioners and participants.
  • Ensure accurate tracking and documentation of all amendments to service agreements.

Documentation Distribution and Storage:

Ensure that all nominated providers receive a copy of participant documentation as required.

  • Securely and correctly store participant documents in CRM folders, maintaining organization and confidentiality.
  • Implement protocols for document retrieval and access, adhering to privacy and data protection regulations.
