Role purpose

The key purpose of the Compliance and Risk Coordinator is to administer the health and safety management system and support the Assistant Operations Manager to ensure compliance against statutory obligations. Considering the primary aim of reducing the potential for harm, recommend strategies and actions that will promote a high level of awareness, engagement and business improvement in this area. Services activities may change from time-to-time in line with business needs. These core deliverables will be achieved through the execution of a well-considered strategy in line with the Chadstone Business Plan.

The Compliance and Risk Coordinator has responsibility for activity within retail and commercial assets on the property.

Key Responsibilities
Risk & Compliance (90%)

Administer the Vicinity health and safety management system; Onboarding of all new Vicinity starters within the Chadstone team, taking them through Induction, ergonomic assessments and other related duties. Monitor compliance against statutory obligations and complete activities to maximise conformity; Complete audits and risk assessments in accordance with a planned and ad-hoc program to demonstrate performance and identify improvement opportunities. This task is applicable to Vicinity team members, Vicinity contractors and tenant contractors; Manage the fire system isolation and permit to work systems. Complete fire system isolation's and ensure all insurance requirements are met in relation to system impairments. Issue permits to work; Conduct routine training tool box talks with team members; Monitor the implementation of the Vicinity ECM document filing system; Monitor the public liability documentation process and ensure quality incident follow-up calls are made promptly by the Operations Coordinator. Make follow-up calls as required based on Operations Coordinator workload and prepare public liability documentation; Conduct inspections of fire and mechanical plant rooms and work with the Assistant Operations Manager to maintain them in a clean and tidy state; Ensure hazardous materials, dangerous goods, roof safety and other required documents are available at the Security Office; Complete administrative duties as required including writing performance updates. Ensure documentation management processes meet Vicinity and statutory requirements. Scheduling, minuting and follow up with emergency planning and health & safety committees. Maintaining the centre's health & safety activities calendar by arranging monthly meetings and contractor engagement to achieve outcomes. Assisting with centre's AESMR compliance through retailer and contractor engagement. Primary contact for the contractor management process via Rapid Global.

Services 10%

Assist with management of the internal landscaping contracts. Conduct routine landscaping inspections to ensure the highest level of presentation is achieved; Manage after-hours requirements including BMS (building management system) schedule programming for lighting, HVAC, isolation's and other related tasks. Manage the mall coordination plan and ensure the furniture pods, bins and internal pots are in approved locations. This includes internal and external way finding signage (including media screens and VMS boards). Management of pest control and roof safety contracts to ensure compliance is maintained. Assistance with capital project delivery, as required.
