Position Summary and Role Purpose

Primary responsibility for the cost-effective and efficient delivery of supply & inventory
management services to the Bethesda Health Care facilities

Accountable for the overall control and management of inventory, cost control and business
improvement

Advise and make recommendations to Executive regarding the direction, planning and
provision of supply to support and facilitate them in meeting their strategic and operational
plans

Primary role:
Day-to-day leadership, management coordination and development of supply service and

team members
Ensure compliance with Imprest scanning, distribution, and decanting schedule
Proactive resolution of supply problems and issues
Create a level of operational excellence through a positive culture and continuous

improvement of the supply service
Develop and maintain effective relationships with both key internal and external customers
Management of supply projects as directed by the Executive Manager of Finance & Support

Services and other Executive
Overall responsibility for the management of the warehouse, imprest, and distribution

functions

Controlled Inventory Management:

Overall responsibility for accuracy and compliance of controlled inventory
Review and take appropriate action on obsolete, redundant, and expired items
Manage controlled inventory with responsibility for inventory stocktake variances,

outcomes, and key performance indicators
Cataloguing/Item Database Management
ERP System Management and maintenance***
Imprest:Ensure the Imprests are being serviced accurately and as per schedule
Assist with scanning and deliveries as required
Review Imprest max levels and adjust in consultation with managers
Meet with Departments with serviced Imprests to ensure the service is being managed to

expectations (JSR)
Facilitate and assist with additional Imprest activities, i.e., re-labelling and expired stock

identification

Procurement:

Raising and administering inventory orders to replenish the main store area
Raising and administration of expense orders received via purchase requisition
Expedite overdue, urgently required and/or outstanding purchase orders
Investigate Invoices on hold and release them for payment
Obtaining prices, quotes, and other product information for user departments
Search the market for an alternate supply of goods and services.
Monitor and report on supplier performance
Ensure effective lines of communication to ensure timely delivery of inventory using the

most appropriate procurement procedures
Negotiate with external vendors to secure advantageous terms within the confines of the

delegated authority policy
Track and report key functional metrics to reduce expenses and improve effectiveness.
Collaborate with key persons to ensure clarity of the specifications and expectations of the

company
Control spending and build a culture of long-term savings on procurement costs
