Job Description

Administrative Responsibilities

  • Provide assistance across all office leadership and consultant teams including but not limited to:
    • Network mapping, org charts, shortlist presentations, PowerPoint presentations, restaurant reservations, printing, binding, update team boards, document production: drafting documents and all formatting requirements, generating reports.
  • Assist in managing reception iPads
  • Provide expense and diary assistance to Directors
  • Raise purchase orders and liaise with the Accounts team to ensure timely payment of incoming invoices
  • Lodge requests for new starters, leavers and internal changes
  • Co-Ordinate all New starter and leaver documentation and equipment
  • Organise and manage new starter consultant training after Orientation as required
  • Setting up Boardrooms presentations or client interviews.

Events

  • Organising internal and external events. Includes but not limited to:
    • Research, presentations, recommendations, catering, invitations, place/name cards, management of RSVPs, attending the events and assist as needed, pre/post-event set up.

Team Leadership

  • Role model best practice for other Team Administrators and junior Support Staff
  • Coach new starters across Australia as required
  • Improve office processes and execute implementations effectively. Also includes participating in Committees to contribute to the overall culture and growth of the business
  • Work with the Directorate to build and maintain company culture, provide solutions, and pre-empt needs

Office Management

  • Ensure the smooth running of the office, including cleanliness, WHS standards, passes, service requests
  • Liaising with Building Management
  • Communicate with the office at large as needed
  • Work with the WHS and HR team to ensure internal safety procedures are met.

The Successful Applicant

The successful candidate must possess a strong "can do" approach whilst having the ability to work both autonomously and within a team. A high standard of attention to detail and time management skills are imperative along with the ability to provide a high level of professionalism and customer service to both internal and external stake holders.
