About the role

As a Receptionist at our Vocus Melbourne office/s, you'll be one of the bright faces joining our amazing team who are determined in ensuring outstanding customer service and administration is delivered right first time.

You'll be responsible for acting as the first point of contact for all our employees, vendors, suppliers, couriers, contractors, and visitors, including managing their office accesses.

Reporting into the office Manager, you'll support them and the National Property Manager by participating in National business improvements and cost reduction initiatives.

Your duties will additionally include, but are not limited to:

  • Manage incoming calls and divert to the correct area within the business, escalating as required.
  • Distribute incoming mail and parcels and arranging courier and mail pickups/deliveries.
  • Monitor and provide access/security control, including issuing of access cards and conduct monthly accuracy audits.
  • Manage the stock and storage areas (stationary, kitchen supplies).
  • Issue Purchase orders and manage goods receipts.
  • Update and maintain floor maps and seating charts.
  • Assist with office event planning, including endofmonth drinks and catering.
  • Develop effective relationships with individuals and departments.
  • Manage and monitor meeting rooms, ensuring readiness and Covid19 safety requirements are adhered to.

You'll bring to this role:

  • Previous experience as a receptionist and/or within a similar role.
  • Working knowledge and experience of Microsoft O36
  • Strong commonsense approach and excellent problemsolving skills.
  • Outstanding communication and phone etiquette, with the ability to build rapport with diverse individuals and cultures.
  • Ability to work well within a team and autonomously.
  • Understanding and ability to provide confidentiality, sensitivity and discretion when required.
