This role involves performing routine system recordkeeping tasks, investigating and resolving system issues, and providing administrative support for strategic initiatives such as quality assurance, training and education, project support, and managing the lifecycle of corporate information within the organization.

Key Responsibilities:

  • Perform routine maintenance tasks in TRIM and other business systems, including creating and deactivating user profiles, deleting records, establishing new record structures, resolving contact location issues, enforcing check-ins, indexing systems, granting record access, and managing document migrations.
  • Coordinate annual records archival and destruction processes across critical business systems.
  • Provide administrative support for IT projects.
  • Update role-based access controls in critical business systems to reflect current staff changes.
  • Conduct system data quality assurance audits as directed by the Manager, Business Systems and Engagement.
  • Support end users in recordkeeping, including creating resources (documentation and guides) and delivering training on records management for key business systems and applications.
  • Assist super users with ongoing support and guidance across key business systems.

Key Selection Criteria:

  1. Comprehensive Understanding of Records Management Principles:
    • Demonstrated knowledge of records management principles, including information classification, retention schedules, access controls, metadata capture, and compliance with regulatory frameworks such as the State Records Act NSW.
  2. Experience with EDRMS Administration:
    • Proven track record in administering TRIM or another Electronic Document and Records Management System (EDRMS), including handling user queries, conducting training sessions, and developing user documentation and guides.
  3. Proficiency in Quality Assurance and System Audits:
    • Ability to conduct regular quality assurance checks and system audits to uphold data accuracy, integrity, and compliance with records management policies, standards, and regulatory requirements.
  4. Strong Communication Skills:
    • Exceptional verbal and written communication skills, with the capacity to effectively convey technical information to diverse audiences.
  5. Attention to Detail in Records Management:
    • Demonstrated ability to maintain precision and attention to detail while managing system records, ensuring strict adherence to established records management policies and procedures.
  6. Collaborative Team Player:
    • Proven capability to collaborate effectively with cross-functional teams and stakeholders at all levels, including IT, management, and business units, to address issues and align with IT strategic goals.
  7. Organisational and Time-Management Abilities:
    • Strong organisational and time-management skills, adept at prioritising tasks, managing competing priorities, and consistently meeting deadlines in a dynamic and fast-paced work environment.
