The Project Officer supports the administration and delivery of matters relating to corporate, governance and event readiness functions.

The Project Officer also contributes to the administration of specific projects relating to the conduct of an important Event. The role assists in monitoring project timeframes, budgets and reporting and ensuring that project goals and timeframes are met.


The role is responsible for undertaking work that is moderately complex to complex in nature, under limited direction, utilising expertise and knowledge to support the delivery of corporate, compliance and governance functions, election events and project outcomes.

Description

Project responsibilities:

  • Contribute to the design and identification of project components and timelines.
  • Undertake project activities, including resources, budgets, reporting and ensure that project tasks are delivered on time and meet the needs of the end user.
  • Prepare tender documentation, contribute to the evaluation of proposals received from tenderers and prepare contract documentation.
  • Contribute to the preparation of briefs and prepare other content in relation to the project for consideration by more senior staff.
  • Contribute to the monitoring and evaluation of project activities, including identification and implementation of process improvements in relation to the project.
  • Conduct research and analysis to obtain evidence based conclusions and assist in the management, preparation and coordination of policy or procedure formulation and/or project management.

Corporate and governance responsibilities:

  • Prepare spending proposals, complete the required documentation to raise purchase orders and process invoices.
  • Update and maintain records and systems relating to the progress and outcomes of projects or the operation of the State Office.
  • Maintain financial records and prepare financial information for inclusion in corporate reports, including undertaking reconciliation of invoices and payments.
  • With guidance, develop and drive delivery of key governance mechanisms including corporate plans, business continuity plans and risk management.
  • With guidance, deliver security and asset / property management functions.

Profile

_ Mandatory_

  • Demonstrated understanding of project management methodologies and experience in delivering within a project framework.
  • Knowledge and experience in delivering and/or overseeing corporate governance activities.
  • Knowledge and experience in successfully setting priorities and delivering quality results on time.
  • Ability to prepare written work that is well constructed and adapted to the needs of the audience.
  • Proven ability to communicate effectively whilst responding to stakeholder needs and expectations across a geographically dispersed network.
  • Mentor staff, assist with training and promote professionalism.
  • Demonstrated personal integrity whilst achieving results within legislative and policy parameters.
  • High level of proficiency in computer based project tools (e.g. Microsoft product suite of Project, Excel and PowerPoint).
