About the Role

The main goal of the Program Assistant is to actively support the management of Next Step Plus in the referral process for young individuals, program-related administrative tasks, the management of the client database, and handling client-related expenses. This role offers the opportunity to contribute to the creation of innovative solutions in the Transition from Care space. The incumbent will exhibit leadership skills and provide peer support to help the team in assisting young people to achieve their aspirations as they move out of the care system. The focus of the role will be on providing financial administrative assistance for young people accessing the Extended Post Care Support Program.

This permanent full-time position is available at any of the following offices – Ipswich, Toowoomba, or Milton.

Key Responsibilities

  • Provide administrative support for managing the client database for Next Step Plus.
  • Coordinate resources for the region (vehicles, ICT equipment, room bookings, petty cash, etc.) and maintain recording systems.
  • Monitor the evolving needs of Young People, offer information, and contribute to adapting LWB services to meet these needs.
  • Foster a positive team environment, provide role modeling, and on-the-job support.
  • Enhance efficiencies through best practice administration, communications, and records management.
  • Create, update, and maintain registers with relevant client expenditures in alignment with new Extended Post Care Support funding.
  • Adhere to all Life Without Barriers policies, codes of conduct, procedures, practices, external funding body requirements, and legislation.
  • Apply principles of equity and anti-discrimination in the workplace and conform to organizational and legislative Health, Safety, and Environment requirements.

Skills & Experience

  • Demonstrated experience in managing multiple work streams within a dynamic administrative setting.
  • Highly developed organizational skills and the ability to prioritize workload.
  • Proven ability to build positive relationships with a wide range of internal and external stakeholders.
  • Maintain clients' privacy and confidentiality.
  • Strong problem-solving and conflict management skills.
  • Proficient in written and computer skills for creating plans, programs, reports, correspondence, and other documents.
  • Ability to maintain client-related financial records or other relevant bookkeeping tasks such as generating invoices, reconciling expenses, and maintaining registers.
  • Tertiary qualifications in the health or welfare field and/or relevant experience are desirable.
  • Hold a Full Unrestricted Australian Driver's License.
