About the position

The Executive Assistant is responsible for coordinating and overseeing all office administrative duties and ensuring that the office is run smoothly and efficiently.

The role also provides executive support to the Co - Managing Director and the wider executive team. This is an in-office role based in Sydney Olympic Park.

  • Provide executive support to the Co- Managing Director and the wider executive team as needed
  • Efficiently manage executive calendars, including scheduling meetings and appointments
  • Coordinate business travel, prepare itineraries, book venues and accommodation as needed to ensure a seamless journey
  • Assist in the coordination of social events.
  • Attend meetings, take detailed and accurate notes, and document action items for follow-up.
  • Proactively assisting in the preparation of presentations, proposals, reports and agendas
  • Manage office purchasing and reconciliation including credit card receipt management in a timely and accurate manner
  • Office management duties include but not limited to; manage stationery and kitchen supplies, liaising with tradesmen and building management and other office requirements
  • Other duties and tasks are not limited to those listed above.

What we are looking for

Successful candidates will have:

  • Executive support experience within the construction or a similar industry is essential.
  • Tertiary qualifications in the field of business administration or related field are highly desirable
  • Proficiency in MS Office
  • Strong written and verbal communication skills
  • Ability to multi-task and adapt quickly to changing priorities
  • Excellent time management skills including the ability to meet deadlines
  • Strong problem-solving skills
  • Excellent telephone manner
  • Professional presentation
  • High degree of attention to detail and accuracy
  • Ability to work independently with minimal supervision and as a team member
  • Discretion and confidentiality when handling sensitive information
