To provide administrative support and ensure office facilities are maintained to meet compliance requirements to the benefit of all personnel.

OVERALL OBJECTIVES

  • Manage Reception desk first point of contact for all enquiries, answer and forward incoming telephone calls in a timely and professional manner and conduct all site visitor induction and manage site sign in/out.
  • Receive and distribute all site deliveries to include couriers, outgoing freight ensure accurate records are kept.
  • General Administrative duties i.e. filing, monitor/purchase office supplies and stationery, maintain printer/toner requirements
  • Create a positive and professional impression and maintain the reception area and surrounding meeting rooms in a tidy state.
  • Monitor/replenish kitchen and amenities supplies, and tidy kitchen area as required.
  • Keep warehouse tidy clean down ingoing and outgoing parcel area daily.
  • Keep training/warehouse kitchen suppled as required.
  • Enter expenses for various managers within the company through Concur (monthly).
  • Book travel, accommodation and car hire through Concur on an ad hoc basis.
  • Raise Purchase Orders when required via the SAP software receipt these item's.
  • Monitor invoices payable enquiries inbox and reconcile supplier statements.
  • Maintain building management maintenance register on a monthly basis ensuring all maintenance issues are rectified in a timely manner.
  • Point of contact for all office / building suppliers.
  • Maintaining/monitor office security system (CT Plus) and update register.
  • Maintain telephone register and update Mitel telephone system, maintain IT supplies database.
  • Organise and plan various office functions both adhoc and annually, order catering when required.
  • Other duties as instructed by line management.

  • Assist with the investigation of hazards, incidents and unsafe work conditions and equipment, and implement actions to eliminate or reduce risks to acceptable levels.
  • Ensure that all procedures are communicated, understood and complied with by all personnel.
  • Review and recommend improvements to existing procedures, to encourage the adoption of best practice and standardisation across all Otraco operations.

(essential or desirable qualities required - i.e. education, knowledge / skills)

ESSENTIAL

  • Good communication (written and oral) and facilitating skills.
  • Competent computer user familiar with data bases, spreadsheets and word processing packages.
  • Provide professional office administration.
  • Experience in administration and quality compliance.
  • Possess initiative and drive that permits them to make decisions and meet deadlines when under pressure.
  • Good team player and be able to follow direction.

DESIRABLE

  • Experience in the mining industry.
  • Experience in SAP or similar accounting systems
  • Experience in purchasing and invoicing.
