We have a great opportunity for an experienced and professional Executive Assistant to join our Sydney Investment Banking Team.

Supporting the Head of FIG (Financial Institutions & Governments) and his team of seven, including a busy Executive Director, you will be heavily relied upon for all support requirements across diary, travel, expenses, events and ad hoc requests as they arise.

There is also scope to be involved more broadly across stretch assignments within the business.


A friendly professional, you will be 100% relied upon to manage and take responsibility for your stakeholders' diaries and everyday needs, effectively and proactively prioritising to ensure the team is able to seamlessly serve the needs of their clients.

You will require mínimal direction whilst utilising your strong attention to detail to navigate the support for the group.


You will be a strong communicator, both verbal and written, with an ability to work as part of a broader Executive Assistant population.

Teamwork is paramount in this position.

You will be managing a multitude of responsibilities, people and timeframes, whilst being adept across tech, policies and procedures in a fast-paced environment.

Reporting into the Business Support Manager, you'll be reliable and motivated, whilst demonstrating flexibility with a 'can-do' attitude.

A high level of confidentiality and problem-solving skills is a must, as well as being able to read your audience, use sound judgement in your decision making whilst drawing on your experience and diplomacy.

**This role is responsible for: - Diary management across multiple time zones

  • Comprehensive domestic and international travel management
  • Client liaison / Client facing
  • Organisation of client and ad hoc events
  • Management of Expenses for the team (using Concur)
  • The ability to work with a range of personalities
  • Arranging room bookings, catering and video conferencing facilities as required
  • Preparation of sensitive and confidential information
  • Management of document printing and binding
  • Answering phones and taking ownership of internal and external calls
  • Assist team with IT issues / requirements escalations
  • Other ad hoc duties as they arise including backup for other EAs when on leave

Qualifications / Experience

  • Minimum of 5 years' experience as an Assistant working for deal teams in an Investment Bank or other professional services environment
  • Ability to demonstrate strong problem solving and flexibility
  • Excellent communication skills, both written and verbal
  • Must have excellent attention to detail with accurate typing skills
  • Ability to work alongside different teams in a confident manner
  • Excellent organisation and time management skills
  • Ability to prioritise workload and to think on your feet and think logically
  • Demonstrate reliability and open to business changes as they arise
  • Ability to demonstrate the utmost discretion and professionalism
  • Manage tasks in a confidential manner
  • Professional telephone manner
  • Proven ability to build relationships with clients and colleagues
  • Strong Microsoft Office capability, especially Word, Excel and PowerPoint
  • Business/Secretarial College diploma or equivalent desirable
