YOUR OPPORTUNITY


We have an exciting opportunity for an experienced
Executive Assistant to join our Wesfamers Industrial and Safety (WIS) team based in
Macquarie Park.


In this pivotal position, you will be providing executive level administrative support to our WIS General Manager of Finance, Executive General Manager of People and Safety, and a shared responsibility to support the Managing Director and the broader team as appropriate.

Your key responsibilities will include, but are not limited to:

  • Acting as the main point of contact between the WIS Executives and internal and external stakeholders, clients and visitors, and importantly the Wesfarmers corporate head office
  • Coordinating complex scheduling and extensive calendar management, as well as management of content and flow of information to executives
  • Prioritising to ensure that reports, business papers and correspondence are dealt with efficiently and promptly
  • Obtaining and preparing information for use in presentations, Board meetings, conferences, and reports
  • Maintaining professionalism and strict confidentiality with all materials, and exercising discretion when interfacing with the business
  • Coordinating Board reports, working to corporate timetables, issuing of notifications, collating information, working with stakeholders across the business to have submissions completed on time
  • Managing, coordinating and arranging travel and travelrelated activities, including hotel bookings and transportation for Executives and their teams
  • Maintaining and processing monthly expenses and costings of all invoices
  • Coordinating recurring meetings for Executives, including compiling, formatting, editing, and distributing papers

To be successful, you will have:

  • A minimum of 5 years' experience as an Executive Assistant or similar providing support to multiple executive leaders and their teams
  • Advanced Microsoft Office Suite skills including Teams, PowerPoint and Outlook
  • Strong organisational and time management skills, with excellent attentiontodetail and the ability to be proactive, plan and anticipate needs
  • Exceptional stakeholder management skills and the ability to effectively work across all levels of the business including Board level
  • A responsive, proactive, and adaptable approach, with the ability to multitask efficiently, solve problems and manage challenges
  • Excellent and clear verbal and written communication skills and the ability to negotiate, influence and work through competing demands to get the best outcomes
