Clinical Medical Administration Assistant

Allambi Care are seeking a full time administration assistant for the Clinical department, to provide operations level support including scheduling and reception.
Main Duties and Responsibilities*General*- Answer Telephone in a courteous and professional manner- Receive and convey messages in writing, verbally and electronically
- Book professional appointments
- Greet Clients and advise appropriate Clinician of attendance
- Liaise with patients and their families including Out of Home Care internal and external organisations
- Utilise software including Halaxy, AIMS, Outlook, Coreplus, Microsoft and other organisational software (training provided)
- Process Medicare/Private Payments
- Assist with Referral/Expired Referral monitoring
- Scan/upload and file documents
- Understand and maintain knowledge of basic NDIS billing processes
- Ability to work between office locations in Warners Bay and Allambi Care Main Office Clinic and perform all duties required for Allambi Clients as well as external service providers that may occupy the Office/treatment Rooms.
- Prepare mailing
- Assist System Coordinator in developing and review of appropriate Reception Training manuals and processes.
Medication
- Assist with Medication correspondence, problem resolution, script resolutions, enter Medication Information using internal management systems
- Medication locked and secure and retrieve where appropriate following Allambi policy
- Liaise with external organisations and Pharmacies
- Deliver Medication to Out of Home Care Clients houses and check the webster packs are correct adhering to company policy and procedures.
Additional Duties
- Assist with archiving of client records
- Order Assessments when needed and check stock levels once per month
- Order Stationary and supplies
- Update and maintain Resource Library database
- Coordinate Kitchen Duties
- Perform data entry ensuring accuracy and conciseness
- File and maintain client database records both digital and hard copy
- Experience in Prioritising, organising and completing set tasks given according to demanding time lines
- Experience in coordinating and liaising professionally with multiple stakeholders.
- Negotiate and achieve positive outcomes when problem solving and conflict resolving.
- Work autonomously, independently and as part of a team
- Strong and effective communication via written, technological, oral and interpersonal avenues
- Hold a minimum of Cert 3 Business Administration
Desirable
- Experience in Out Of Home Care programs.
- Knowledge of Allambi Care policies and procedures
- Full Time Employment
- 4 weeks Annual leave per year
- 1 Roster Day Off per month
