The Opportunity

  • Due to the School's growth and expansion, we are looking for two outstanding Events Coordinators to join our small team. You will be responsible for planning and delivering parts of the School's events program to a high standard, with an emphasis on creating experiences that enhance the School's engagement with key stakeholders such as our faculty, students, alumni, VIP's and staff, donors and members of the business community.
  • With guidance from the Events Manager and in partnership with internal stakeholders, the Events Coordinator will lead the planning and delivery of smalltomedium sized events, such as appearances from industry guest speakers, student competitions and award ceremonies.
  • Both roles are fixedterm for 12 months, one is fulltime and one is parttime (0.5 EFT flexible hours based on the needs). These roles sometimes call for working outside of regular office hours, your flexibility would be highly appreciated.
  • Some key accountabilities will also include:
  • Take ownership and accountability for the end-to-end planning and delivery of events, including the preparation of planning documents, event logistics, speaker liaison, VIP liaison and marketing and communication materials
  • Ensure that project milestones and deadlines are met by meeting regularly with the project sponsor, providing them with an update and requesting information or support from them in order to keep the project on track
  • Manage internal and external venue arrangements and event logistics
  • Create highlevel run sheets, speaker notes and venue documents for each event
  • Produce briefs for suppliers, such as photographers and videographers, manage their visit to the School and ensure timely and accurate settlement of their invoices
  • Build and maintain strong, positive working relationships with the inhouse facilities, catering and IT teams, as well as external suppliers
  • Produce all required supporting materials, such as name badges, place cards, handouts and visual aids, ensuring accuracy and consistency with the School's brand and event format

About you

  • As an experienced Events Coordinator, with prior experience working and delivering small
- and large-scale events, you will be able to also demonstrate success in working on multiple events simultaneously.

  • Some experience gained within the Higher Education sector or in supporting the delivery of graduation ceremonies would be highly regarded.
  • You will ideally have:
  • Tertiary qualifications in events or a related field such as marketing or public relations would be highly regarded
  • Advanced proficiency with Microsoft Office products, such as Word and Excel
  • Exceptional written and verbal communication skills, with a high degree of attention to detail and the ability to identify key facts within a large amount of information
  • Ability to develop strong working relationships across different teams within an organisation, and across different cultures
  • Strong personal time management and project management skills
  • Ability and willingness to work outside of regular office hours to deliver events when required
