Position Overview:
We are seeking a highly organized and versatile individual to fill the role of Receptionist/Admin in our company. This position requires excellent communication skills, strong administrative abilities, and the ability to multitask effectively.
The Receptionist/Admin will be responsible for managing front desk operations, providing administrative support to various departments, and ensuring smooth office operations.
Responsibilities:
Receptionist Duties:
- Welcome and greet visitors, clients, and employees in a professional and friendly manner.
- Answer and direct incoming calls to the appropriate person or department.
- Provide accurate information and address inquiries from callers and visitors.
- Maintain a tidy and organized reception area, ensuring a positive and welcoming environment.
- Receive and distribute mail, packages, and deliveries.
- Schedule bookings and provide followup for ongoing jobs, including installations and service/repairs.
- Assist with travel arrangements and accommodation bookings for staff and visitors.
Administrative Duties:
- Provide administrative support to various departments, including filing, data entry, and document management.
- Generate and manage invoices.
- Aid in inventory management.
- Maintain office supplies inventory and place orders as needed.
- Assist with the coordination and planning of company events, meetings, and conferences.
- Compile and prepare reports, presentations, and spreadsheets as required.
- Assist in the coordination of office maintenance and repairs.
- Support HR functions, such as maintaining employee records and assisting with onboarding processes.
- Collaborate with team members to ensure smooth office operations.
- Handle confidential and sensitive information with discretion and professionalism.
- Perform general clerical duties, such as photocopying, scanning, and filing.
Requirements:
- High school diploma or equivalent qualification.
- Proven experience as a receptionist, administrative assistant, or similar role.
- Excellent communication skills, both verbal and written.
- Strong organizational and multitasking abilities.
- Attention to detail and ability to maintain accuracy in administrative tasks.
- Professionalism, with a friendly and approachable demeanour.
- Ability to prioritize tasks and meet deadlines in a fastpaced environment.
- Strong problemsolving skills and the ability to handle unexpected situations calmly.
- Discretion and ability to handle confidential information.
- Excellent time management and organizational skills.
- Valid Australian driver's license and ability to drive a manual transmission vehicle.
- Fluency in Mandarin will be considered an added advantage.
- Mechanical knowledge would be an advantage.
Salary:
$ $30.00 per hour
Schedule:
- 8 hour shift
