About the role


An exciting opportunity has arisen for an experienced Executive Assistant (EA) to join a small NGO to provide high quality executive and administrative support.


As a reliable EA and office all-rounder, the role will provide a full support to the CEO and Executive team and Board of Directors serve as a welcoming receptionist and also provide administration support to the business.


The role will report to the CEO for EA duties and will also report to the Office Administrator for reception and administrative duties.


Main duties include:
Executive Assistant

  • Reports to CEO
  • Outlook management including inbox, calendar, and contacts coordination
  • Executive & all staff meeting coordination, agenda preparation, filenotes and minutes
  • Reconciling monthly expenses
  • Board and various Committee preparation, agenda and minutes
  • Executive travel arrangements
  • Managing various stakeholders
  • Any other adhoc duties may be added to the position description or directed by other team members of BGF
General Administrative Support (Business Support)

  • Reports to Office Administrator


Reception
  • Greet all visitors arriving in the reception area, direct them accordingly and also maintain visitors log.
  • Organises Reception relief duties and rosters during breaks, lunch and annual leave
  • Performs duties as the main point of contact for the office for all administrative matters and provide day to day office administrative assistance to the operations of BGF, and as otherwise specified by the Office Administrator.
This is a permanent, full-time role working 76.0 hours per fortnight, based in Surry Hills, Sydney.
