The Role:


As a Reception/Office Administration Manager, you will be responsible for overseeing all administrative functions and managing the reception team & office administration.

You will be the first point of contact for our customers and visitors, ensuring a welcoming and organized environment. This position requires a detail-oriented, organized, and proactive individual who can multitask and handle a variety of office duties.

The Responsibilities:

Reception & Team Management:

  • Greet clients, visitors, and staff in a professional and friendly manner.
  • Lead and supervise a team of two, ensuring smooth office operations.
  • Delegate tasks, provide guidance, and encourage professional development.

Administrative Support:

  • Manage and coordinate office supplies, equipment, and facilities.
  • Schedule and coordinate meetings, appointments, and events.
  • Assist in the preparation and distribution of internal and external documents.
  • Handle incoming and outgoing mail and deliveries.

Data Management:

  • Maintain and update company records and databases.
  • Manage filing systems, both physical and digital.
  • Prepare and review reports, presentations, and documents as needed.

Team Support:

  • Provide administrative support to various departments, including each venue.
  • Collaborate with all departments to ensure smooth office operations.
  • Address and resolve customer and team complaints in a timely and professional manner.
  • Employ critical thinking to find creative solutions to problems and challenges that may arise in daily operations.
  • Collaborate with the team to identify process improvements and enhance the customer experience.

Customer and Vendor Relations:

  • Ensure clients and visitors have a positive experience and are promptly attended to.
  • Coordinate visitor and vendor appointments with appropriate personnel.
  • Facilitate communication between in personnel, vendors, and customers.

The Person:

  • Proven experience in administrative or office management roles.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft office
  • Attention to detail and high levels of discretion.
  • Knowledge of office equipment and basic IT troubleshooting.
  • Familiarity with customer service best practices.
  • Exceptional problemsolving and critical thinking skills.
  • A bachelor's degree in a related field is a plus.
