Role:
The Sub-School Office Manager is an integral member of the Sub-School Team as they have an extensive knowledge of significant student data relating to attendance, lateness and learning and engagement needs.
The Sub-School Office Manager is able to develop positive relationships with students, staff and parents, thereby fostering a strong sense of connectedness to Reservoir High School.
Furthermore, the Sub-School Office Manager is able to provide organisational and administrative support to the Sub-School Team.
The primary role of the Sub-School Office Manager is to support the Sub-School Team through the monitoring and communication of student attendance data; thereby ensuring students are fully supported in their learning.
Any issues relating to these areas must be directly communicated to the Sub-School Team who will determine the most appropriate course of action and make referrals to relevant school support teams if necessary.
Furthermore, the Sub-School Office Manager provides administrative support to the Sub-School Team so as to assist in the smooth and effective running of the school.
The Sub-School Office Manager is not an administrative support to individual teachers within the school.Responsibilities:
The role has specific responsibilities including the following:
- Assisting the Sub-School Team with administrative tasks
- Attending to student enquiries within the Sub-School
- Administering of late passes to students arriving late and early leave passes to students wishing to leave early
- Entering of late and early leave data through Compass
- Preparation of reports through Compass that summarises students absent that day
- Monitoring and reporting on patterns of lateness and absences by students and advising the Sub-School Team using an Attendance Tracking Tool
- The notification to parents by phone of student absences each day and entering the data on Compass
- Ensuring all attendances have an approved explanation from a parent/guardian
- Ensuring all students are accounted for in relation to their individual classes each day
- Maintaining student records and data
- Supporting the administration of course enrolment processes
- Issuing detention notices for the Sub-School Team
- Entering information on Compass and CASES
- Handing out printing paper, toilet key, tissues and bandaids
- Collecting camp and excursion notices
- Distributing notices, parent letters and other school mandated materials
- Prepare and process Student Suspension notices
- Print daily detention list and issue detention reminders
- Preparation for Course Confirmation nights, End of Year program and Census information
- Locating students for the Wellbeing Team, Careers Team, psychologist, speech therapist, etc.
- Undertake other duties as requested by the Business Manager or Principal
- Comply with the school¿s policies and procedures.
