As our Executive Assistant, reporting to the CEO The Star Sydney, you will provide high level, efficient, confidential and comprehensive executive and administrative support, ensuring that service delivery is timely and meets both the customer's (internal and external) needs and corporate standards.

Based in Sydney, this is a fantastic, multifaceted opportunity where you will be in the centre of it all, supporting the CEO in a dynamic fast paced environment and making a difference.

A few of your responsibilities:

  • Use discretion in the absence of the CEO and provide appropriate responses, whilst escalating any important developments
  • Handle all queries with diplomacy and tact and refer all problems together with regular and informative feedback to the CEO
  • Use discretion and maintain confidentiality when handling information administered by the CEO
  • Prepare confidential documents for company presentation and discussions, collect data and compile ad hoc and monthly reports for key stakeholders
  • Provide comprehensive administrative support including email and diary management, expense claims, travel arrangements, internal paperwork, screening of telephone calls, prepare and complete standard replies to correspondence and other office duties such as collating documents and arranging courier requirements

Kindly note the role will require you to be onsite from Monday to Friday each week.

What we are looking for:

  • Ability to determine and predict needs and preferences of the CEO and other Senior contacts who interact with them
  • Understanding of administrative functions and office practices
  • Comfort working across multiple systems
  • High attention to detail
  • Competency using Microsoft Office programs (Outlook, Teams, Word, PowerPoint, Exel) and ability to learn other software applications
  • Excellent written as well as verbal communication skills
  • Demonstrated ability to exercise initiative and discretion
  • Ability to manage varied and conflicting demands to agreed standards and timelines

About you

You are a seasoned Executive Assistant with experience working with C-suite executives in a public company or organisation with complex regulatory requirements. You will pride yourself on always being one step ahead and confidently manage multiple demands and shifting priorities with a sense of calm and control. Your strong communication skills will reflect respect and diplomacy and you will have a proactive, problem-solving mindset, utilising resources at hand to achieve organisational goals. You are able to think independently, anticipating and prioritising on behalf of your leader. Above all, you are approachable with a service excellence mindset echoing the sentiment of our culture.
