Are you wanting to grow your skills in pharmacy governance, medication safety and quality and systems administration? Apply Now

About the role:

We have an exciting part-time opportunity for someone who is interested in working as a Pharmacy Clinical Systems and Quality administrator within our Quality and Medication Safety Unit (QMSU) team, formerly known as the Pharmacy Practice Unit (PPU). This position is integral to the function of the QMSU and supports the Head of Quality and Medication Safety, as well as the rest of the team. This role also oversees the administration of clinical systems such as Riskman, GS1 and the pharmacy SharePoint.

Our current administrator will be taking long service leave 3 days/week for a 16 week period and we're looking for someone to cover those days (Wednesday to Friday) and support the QMSU team. You will be trained by our current administrator and provided with on-going support throughout.

The QMSU office is located within the Wesley Hospital in Auchenflower, Brisbane, however we are offering a great deal of flexibility in where you can choose to be based, whether that be at the Wesley, one of our pharmacy sites, or working entirely remotely.

This is a great opportunity to expand your skills and see first-hand the work that the Quality Medication and Safety Unit does to support our pharmacy teams. We are looking to fill this position by early to mid July.

Key responsibilities:

  • Managing incoming and outgoing communication through the QMSU inbox.
  • Prepare QSMU meeting agendas, minutes and actions.
  • Reviewing and issuing product notifications (Recalls, Defect Corrections and Alerts) via GS1 in consultation with Procurement and QMSU Quality Pharmacists.
  • Administration functions for GS1 and RiskMan including the creation and deactivation of accounts and system alerts.
  • Deliver systems training for RiskMan, GS1, SharePoint and Chemwatch.
  • Analyse data and prepare monthly Pharmacy Quality Reports for state managers.
  • Retrieve, analyse and present data for audits and surveys.
  • Document management including:
    • Coordinating schedule of documents due for review.
    • Formatting and loading documents to SharePoint.
    • Preparing document change notifications.
    • Participating in document reviews.
  • Coordinate the annual hospital and health service survey and preparing reports.
  • Assist with managing conference sponsorship.
  • General administrative tasks to support QMSU Portfolios.
