Job Description

As the Office Operations Lead, your main responsibility will be to ensure the smooth and efficient day-to-day management of office facilities. Your role involves overseeing facility maintenance, managing the reception area, coordinating office services, and supporting administrative tasks to create a productive and organized work environment. Additionally, you will assist the Event and Experience team with overflow activities as needed.

  • Facility Management: Supervise the daily operations and maintenance of corporate office facilities nationwide, ensuring compliance with health and safety regulations, including acting as a Fire Warden and First Aid Officer.
  • Office Administration: Handle office supplies, manage guest service requirements across all corporate offices nationwide, and oversee the morning reception area in the Head Office.
  • Operational Support: Implement office policies, manage administrative duties, and assist with employee onboarding.
  • Event and Experience Team Support: Aid in event planning and execution, oversee overflow activities, and handle on-site logistics.
  • Support Initiatives: Contribute to broader Events and Experience initiatives as needed to enhance the overall workforce experience.
  • Budget Management: Monitor the office operations budget, track expenses, and identify cost-saving opportunities.
  • Vendor and Service Coordination: Liaise with vendors, negotiate contracts, and ensure high-quality service delivery.
  • Technology and Equipment Management: Supervise office equipment maintenance and coordinate technology needs with the IT department.
  • Customer Service: Address and resolve issues for employees and visitors while maintaining excellent customer service standards.
  • Continuous Improvement: Identify and implement enhancements in office operations and stay updated on industry best practices.
Qualifications
  • Demonstrated experience in office management or related administrative roles, with event planning background being advantageous.
  • Strong organizational, communication, and multitasking skills; proficient in the Microsoft Office Suite.
  • Detail-oriented, proactive problem-solver, team player, and possess strong customer service abilities.
  • Ability to work flexibly, handle multiple projects simultaneously in a fast-paced setting.
  • Basic knowledge of facilities maintenance, safety regulations, and budget management.
  • Discretion with confidential information, flexibility in event support, and adept vendor management skills.
Additional Information
  • We provide extended Paid Parental Leave, including up to 26 weeks for primary carers and 4 weeks for secondary carers.
  • One additional week of Loyalty Leave each year after completing 3 years of service.
