The GWS Local Business offers consistent solutions with local expertise through operational excellence, possessing extensive knowledge in providing technical and hard services internally. This role will assist in managing billing, invoicing, and accounts payable for a client account.

This is a role that interfaces with customers and teams to deliver exceptional customer service and business support with the aim of contributing to the ongoing growth and success of the Business. You will deliver a comprehensive and adaptable administrative service to the client account.

A Glimpse of Your Daily Tasks

  • Ensure the accuracy of financial transactions from the contract, maintaining WIP, Open purchase orders, and debt within defined parameters
  • Timely creation of precise purchase orders
  • Generate extra works jobs
  • Participate in weekly finance meetings actively with the contract manager/subcontractors
  • Regularly process supplier invoices
  • Issue sales invoices in accordance with deadlines set by the contract and company
  • Assist in month-end financial reporting and meeting deadlines
  • Management of Purchase Orders—Raising Pos, Pending receipt report, Open PO report, Addressing Email Queries
  • Billing/Invoicing—Preparing Ready to bill, Creating BRF, Consolidating Invoices
  • Conduct BRF Quality Checks
  • Investigate Billing
  • Provide Daily Finance updates
  • Monthly Reporting
  • Act as Finance & Governance Meetings System Champions, e.g., Maximo; Simpro; and other systems
  • Familiar with the daily operations and specific scope of the contract, understanding covered services and chargeable services
  • Prepare and distribute predefined reports required by the contract and customer's operational and financial needs
  • Coordinate appropriate CBRE Technicians, Strategic Partners, or Contractors to address Reactive Repair requests
  • Monitor calls and communicate potential issues to Account Teams/Requestors
  • Oversee the helpdesk and respond to incoming calls/jobs as needed
  • Provide job status updates to engineers and feedback to customers
  • Create Client quotes—select suitable contractors as needed
  • Update Reactive and PPM job statuses in the work schedule system (SI7/WFM)
  • Regularly provide reports/updates to managers, supervisors, and team leaders on financial matters
  • Procurement of materials/parts/PPE

About You:

  • Possess higher education finance qualifications or a degree
  • Experience in Accounts Payable/Accounts Receivable
  • Proficient in PC-based skills, with advanced knowledge in Word/Excel and Outlook (intermediate to advanced level)
  • 3 years' experience in a similar role, including managerial responsibilities
