The Job

This position plays a significant role in the examinations administration, involving tasks such as receiving, reviewing, and processing applications for examinations and enrollments. It serves as a crucial point of support by offering top-quality administrative assistance to the exams teams and collaborating closely with the members of relevant committees.

Primary Responsibilities:

  • Ensure precise and timely administration of applications, including thorough examination of eligibility criteria, and timely provision of essential information to team members
  • Support committee meetings as necessary and generate crucial reports on application statuses
  • Oversee databases related to applications, eligibility, and assessments, while providing administrative backing for scheduling and logistics during examinations
  • Work in close cooperation with team members to meet deadlines and appropriately escalate issues that need resolution
  • Assist with candidate and examiner allocations for examination venues and prepare relevant documentation in consultation with team members
  • Perform accurate reviews of application eligibility criteria and contribute to enhancing Standard Operating Procedures and college regulations associated with examination applications
  • Contribute to and aid in executing Quality Improvement initiatives to streamline current processes
  • Support in scheduling meetings, catering, and other related administration for assessment activities and meetings

To excel in this role, qualifications include:

  • Demonstrated experience in student administration or assessment environment
  • Solid background in tertiary, membership, or student administration
  • Understanding of examinations processes, training, or student applications
  • Excellent written, verbal, and interpersonal skills, including the ability to communicate effectively with various stakeholders
  • Knowledge of assessment regulations and eligibility or entry requirements
  • Proficiency in using MS Office programs, especially Excel, and a good grasp of databases
  • Eligibility Requirement: Applicants must be either an Australian citizen, permanent resident, or a New Zealand citizen
