Overall Purpose of the role:

The position of the Project Administrator is responsible for administrative support for the delivery of service transformation within the operations team including Perfect Transaction execution. This role encompasses project administration, change management and project communications across the operating sites.

Exercising excellent communication and stakeholder management skills across the organisation and broader team, this position encompasses responsibility for facilitating all administration support to the Service Transformation team.

Primary Duties & Responsibilities:

  • Provide administrative support to meet the project milestones

  • Development of project change plan

  • Maintenance of project activity plan and management processes with key stakeholders

  • Support where required for the Service Transformation program to assist in achieving deadlines

  • Timely coordination, assistance & follow up of activities & tasks to deliver the program of work

  • Build effective relationships with key internal and external stakeholders

  • Develop and maintain presentation material for stakeholder interactions, including performance reports on the project

  • Coordinate and manage arrangements for on-site workshops & meetings

  • Demonstrate strong internal networking skills

  • Identify operational impacts and mitigate for Perfect Transaction roll-out

  • Agitate for step change that leads to standardisation of processes within operations

  • Assessment of program management standards to achieve benefit outcomes

  • Support on critical operational process writing to enable Perfect Transaction execution

  • Effective decision making

  • Compliance with company policies and procedures

  • Meeting administration support where required including minutes & actions

  • Tracking & following up actions assigned

  • Proactive approach demonstrated

  • Hold & record safety conversations

  • Identify, record and resolve (or escalate) any safety hazards

  • Manage project office administration

  • Proofread, edit, generate team communication material as required

  • Work in a manner that is not harmful to one’s own health and safety and the health and safety of others

  • Comply with Team Global Express HSE policies and procedures

Leadership responsibilities:

  • Model TGE values and manage to clear performance expectations

  • Ensure TGE Policies and Standards are always communicated and adhered to

  • Ensure individual performance objectives are set, with regular review and feedback provided

  • Regularly communicate business performance against strategic objectives and short terms goals

  • Encourage formal and informal recognition practices to reinforce high performance and demonstration of values
