About the opportunity
Join our dynamic team at Bolton Clarke We're seeking a proactive Administrative Assistant to support our Property team. Your role involves managing maintenance staff rosters and ensuring seamless payroll processing. Deliver exceptional administrative, customer service, and systems support to drive operational efficiency.
Key tasks
- Enter, maintain, and publish fortnightly rosters, ensuring accurate records of staff annual leave and on-call schedules.
- Review and process maintenance staff day sheets to record leave, on-call service, and site call-backs compliant with business and legislative requirements.
- Input daily timesheets, including allowances, leave, and overtime using Human Force payroll software, maintaining electronic filing.
- Address payroll inquiries and investigate errors/discrepancies promptly.
- Finalize fortnightly payroll data for seamless pay runs.
- Manage labour hire contractors within site budgets, processing invoices for payment.
- Assist with purchase order processing, invoice coding, and data entry in various business systems.
- Administer and standardize electronic file systems for facilities maintenance and capital works.
- Monitor property email inboxes for timely distribution of contractor reports.
- Supervise online contractor portals to ensure timely report uploads and compliance.

- Payroll data entry with a high level of accuracy
- The ability to work to deadlines and manage time effectively

- Strong attention to detail
- Strong organisational skills
- Confidentiality awareness
- Previous experience with payroll software is preferred
- Demonstrated proficiency in Microsoft Office suites
