About the Opportunity

We have an exciting opportunity to join ALM as an Executive Assistant to the CEO. The role will provide professional support to the CEO – Liquor and calendar support to the CFO, Liquor. This role is an active member of the ALM leadership team, ensuring positive representation of the business both internally and externally.

In this Role

  • Effective and proactive diary management – organise internal and external meetings efficiently given time, relevance and availability constraints
  • Meeting preparation including meeting set up, agenda creation, preparation of pre-read documents and more, to a high level of professionalism and accuracy
  • Pro-active management of the CEO’s emails
  • Receive & return phone calls in a professional and timely manner. Screen calls, field inquiries and requests and escalate urgent matters for the CEO attention
  • Co-ordination of travel & accommodation in compliance with the Metcash Travel Policy
  • Maintain accurate and timely expense claims
  • Advise the CEO of any issues that impact the business or the culture of the business
  • Effective and proactive diary management – organise internal and external meetings efficiently given time, relevance, and availability constraints
  • Anticipate the requirements from the team for upcoming calendar events and commitments, plan and communicate timelines effectively, and ensure adherence to deadlines
  • Recording, transcribing, and distributing notes/minutes of meetings and creation of agendas when required
  • Co-ordination of CEO & LG events, including sourcing locations, catering, managing invitees, within the budget constraints, Metcash guidelines and more.  Ensure the smooth running of events through setup, and pack down, as required
  • Large external events & conferences are managed by a separate dedicated leader and external teams
  • Serves as principal contact and source of information for internal and external stakeholders
  • Managing the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed.

You’re Likely a Match If You Have…

  • Minimum 3 years’ experience in a similar role, supporting at MD or CEO level
  • Excellent calendar and inbox management skills
  • Strong capability of the MS office suite including Word, Excel and PowerPoint
  • Relevant administrative qualifications desirable
  • Taking initiative, forward-thinking, pre-emptive, and always a step ahead
  • Highly organised with the ability to manage multiple priorities
  • Excellent attention to detail with a structured and organised approach
  • Exceptional written and verbal communication
  • Excellent stakeholder management and engagement skills
