My client is a fast-paced, energetic theatrical agency brimming with creativity and passion for the performing arts. They are seeking an enthusiastic, helpful, and highly organised Agent's Assistant to join our dynamic team.

In this role, you'll be more than just an assistant; you'll be a vital player supporting our business owner and senior agent. You'll wear many hats, ensuring the smooth operation of our agency and ultimately, the success of our talented clients. Think directors, writers, designers – the creative minds that bring stories to life

Key Responsibilities:

  • Diary Management: Maintain and manage the calendars of the business owner and senior agent, scheduling appointments, meetings, calls, and deadlines effectively.
  • Meeting Coordination: Coordinate all aspects of meetings, including scheduling attendees, securing venues, preparing agendas and materials, and following up with action items.
  • Travel Arrangements: Research and book flights, hotels, and ground transportation for clients and agents, ensuring smooth and efficient travel experiences.
  • Mail Handling: Process incoming and outgoing mail, prioritizing important documents and ensuring timely distribution.
  • Handling Calls: Answer phones professionally, screen calls, take accurate messages, and direct calls appropriately.
  • Greeting Guests: Welcome visitors to the office with a positive and professional demeanor.
  • Liaising with Contractors: Coordinate with vendors, suppliers, and other external contacts to ensure smooth execution of agency needs.
  • General Office Duties: Perform a variety of administrative tasks as needed, including photocopying, printing, faxing, and maintaining office supplies.
  • Personal Assisting: Provide personalized support to the business owner and senior agent, handling requests and tasks with initiative and discretion.

  • You have a proven track record of successfully handling a variety of administrative tasks independently and with initiative.

Desired Skill:

  • Proficient and experienced in Social Media management including website maintenance.
