THE ROLE

The Property department in the Office of Finance and Resources is seeking a suitably qualified and experienced Space Planning Manager to join their dynamic team. The role will oversee and lead the most optimal utilisation of the University's portfolio of spaces by providing space management solutions based on implementation, training, and post-implementation support using Archibus as a tool.

This position will be reporting to the Head of Planning & Design, Property.

The role will be required to manage the approved Archibus Implementation and space planning and utilization management operations.

The main accountabilities are:

- Collaborate with the University executive and provide strategic space advice & reports in an accurate and timely manner to support effective space monitoring, space analysis and decision-making of the MQ space portfolio.
- Oversee the development and implementation of every aspect of the space management solution based on implementation, training, and post-implementation support extensively using Archibus as a tool.
- Formulation of new policies for consideration by the University Executive, such as occupancy chargeback, activity-based costing/management, and activity-based budgeting/planning.
- Initiate space utilisation program across the different space typologies - workplace, Teaching & Learning, Student experience, Research & industry, health, and student housing.
- Conduct benchmarking against relevant national and international universities and other non-educational organisations to examine innovative and agile space design, space policies and standards.
- Forecasting future space demand through mapping future space allocation and capital needs including understanding available supply options, developing stack plan scenarios, developing staging plans, assessing capital plan scenarios, and following a consultation process.
- Develop, manage, and implement space utilization audits/ analysis reports and post-occupancy evaluations of university spaces.
- Operate and update the electronic database archive of plans and documents including new building acquisitions to the system.
- Manage the development, maintenance, review and updating of the University Space inventory in Archibus and associated AutoCAD, Revit, and records systems to provide building and organizational information, space allocation and utilisation data across the space spectrum
- Provides Space Management training and support to Faculties Space Representatives, Faculty Finance Officers, and other users of Archibus software.

- Space management experience preferably in a higher education set-up.
- Strong space planning with customer experience focus, thinking strategically and innovatively on how this can be improved.
- Detail oriented with the ability to analyse space-related data, experience driving decisions and recommendations based on data.
- Be a proven leader with the ability to motivate and inspire your team.
- Consultative skills, including the ability to build relationships with clients, partners and peers
- Strong written and verbal communication skills

The Property Division supports the University in achieving its learning, teaching and research goals through providing planning, development and maintenance services for all University buildings and infrastructure as well as providing a growing commercial property investment portfolio through development and/or acquisition and managing the same.

The Property department consists of:
1. Development & Advisory who work in conjunction with key stakeholders to identify and develop strategic direction and contribute to building a stronger future for the University and support achievement of the strategic objectives.

2. Project Management who manages all building and infrastructure projects on Campus to deliver successful completion of, refurbishment, building work and infrastructure projects. Their services span research, planning, design, procurement and project management.

3. Asset Management who is responsible for the management of the Macquarie University Academic, Research and Commercial Precincts. It includes strategic asset and leasing management, property and estate management, timetabling, facilities management, maintenance, technical experience and dedicated customer service.
