The Role
We are seeking a highly capable professional to support the SBS Managing Director by taking full ownership of the management of the Office of the Managing Director
Reporting to the Managing Director, the Manager, Office of the Managing Director will be responsible for the following:
- Coordinating the daily operations of the executive office, supporting the delivery of MD owned strategic and tactical initiatives as well as tracking and guiding those initiatives to completion.
- Managing all logistics including the upload and management of papers and presentations for executive committee meetings, board meetings, and leadership offsites
- Coordinating the Managing Directors meetings and engagements schedule. Undertaking meeting preparation including the preparation of background papers, research, benchmarking and following through on assigned tasks.
Leading cross-functional initiatives, facilitating special projects, and ensuring action items are executed on behalf of the Managing Director when required.
Assessing all inquiries and communications directed to the Managing Director, determining priority and the proper course of action. Ensuring that information between parties is provided in a purposeful, timely and efficient manner
-Acting as a point of contact for the Managing Director's direct reports. Triaging all incoming requests for the executive's time and working collaboratively to ensure diary and time management is aligned with the priorities.
- Representing the Managing Director at internal or external meetings, activities or events when required where competing priorities don't allow them to attend in person.
About you
Demonstrated experience in high level organisational administration management.
- Acumen and finesse to handle complex situations and multiple responsibilities, simultaneously mixing long term projects with the urgency of immediate demands.
- Exceptional judgment and communication skills.
- The ability to build strong and sustainable relationships, and the capability to interact within all levels of the organization and with external stakeholders.
- outstanding time management, planning and organisational skills alongside a meticulous attention to detail.
- The ability to maintain confidentiality and to handle sensitive matters with care is paramount.
- A Bachelor or Master's degree in a Business-related field will be highly regarded
