**About the Job**

The Executive Assistant is responsible for supporting the Chief Information Officer, and for day to day administrative support to the Data Technology and Delivery team.

**Key Accountabilities and Responsibilities**
- Provide advanced assistance to the Chief Information Officer and their Leadership team. Performing various complex administrative support functions, including but not limited to, analytical and specialised administrative duties to ensure efficient office operations.
- Perform advanced word processing to include complex presentations, reports, spreadsheets and graphs; transcribes information of a technical, confidential and or sensitive nature.
- Screen mail and callers, respond to and route inquiries to appropriate staff as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the Chief Information Officer.
- Research, compile, summarise, and analyse information to formulate correspondence and respond to various inquiries from internal and external sources.
- Manage the organisation of meetings including scheduling and invitations, booking rooms, setting up agendas, minute taking, organising catering and distribution of meeting documentation and minutes.
- Circulation of reminders of outstanding action items, project reports and documentation to the relevant parties and individuals in a timely manner allowing for adherence to deadlines.
- Maintains all team documentation and information that may be confidential, sensitive and or critical along with project artefact documentation and project financial reporting into the document management system and or project office management system.
- Assists the Chief Information Officer in preparation of reports and presentations to Rest Committees and Board and other Senior Executives of Rest.
- Actively promote and ensure clear communication within the team and facilitate communications across Rest.
- Complete expense reporting, invoice processing and track budget expenditures for all the team.
- Responsible for participating in a culture of cooperation, initiative and responsibility throughout Rest to maintain a safe and healthy workplace and meeting the requirements of Rest's WHS policies and Management System.
- Project Management support as required

**Qualifications**:
**Required qualifications, experience, understanding or credentials including**:

- 7+ years of experience in providing executive support services at a senior level
- Secretarial or Administration Certificate preferred
- Exceptional communication skills, both written and verbal, including strong grammar
- Demonstrated ability to effectively plan, prioritise and organise
- Agile and adaptable; able to operate in fast paced environment and adjust to changing priorities
- Strong attention to detail
- Self-motivated, responsible, trustworthy and committed
- Advanced Microsoft Office skills including Word, Excel and PowerPoint
- High degree of confidentiality and interpersonal sensitivity
- Stakeholder management
- Internal and external customer focus
- Excellent time management skills and ability to manage competing demands under pressure
- Comfortable and effective in dealing with a broad range of people
- Commercial awareness
