- Provide confidential secretarial and executive support to the Executive Director in a fast-paced and sensitive working environment, including the management of the Executive Director's appointment diary and overseeing the organisation of meetings, conferences and events.» Consult and negotiate with executive management and other senior officers to resolve any matters as requested by the Executive Director.» Maintain effective working relationships with the offices of senior executives and external clients.» Develop and maintain effective business systems and processes including managing the information flow within the division and between the Planning Group and the department.» Coordinate and assist the Executive Director and divisional staff with the resolution of administrative tasks and issues.» Review confidential reports and executive correspondence.» Actively participate in and support the development and implementation of divisional projects.» Organise executive travel arrangements including the planning of itineraries, travel bookings, accommodation, and preparation of expense claims.» Work as an effective team member within the division and undertake additional activities as directed by the Executive Director.» Form an effective partnership with the Office of the Deputy Director-General, the wider administrative network, and the Business Support Officer to assist in corporate matters, including correspondence, HR, procurement and finance activities.
