Our Federal Government client is seeking to engage a Executive Officer on a contract for 12 months with potential extension.
**Position Overview**
Reporting to the Executive Director the Executive Officer will be responsible for providing strategic, management and operational assistance to the Executive Director of the division as well as arranging travel, meetings/conferences and providing support to the divisional senior management as required.
The Executive Officer provides operational and management oversight and assurance to the Executive Director regarding accountability of divisional documentation and content to support the department.
**Pre-requisites required**
People who are successful in this position must have the following pre-requisites:
- Experience in executive support to senior executives in busy and changing environment.
- Demonstrated significant experience in administrative or project-based roles.
- Demonstrated high capability to adapt to varying working environments/styles and
- exercise judgement and sensitivity dealing with complex issues.
- Comprehensive understanding of finance and records management systems.
- Proven experience in an event management support role.
- Demonstrated intermediate / advanced competency using Microsoft Office suite of
- Demonstrated ability in people management.
- Qualifications at a Cert IV Level or above in Business Administration or an equivalent
- discipline / related field (desired yet not essential)
**Major areas of Responsibility**
- Provide secretarial and confidential administrative support to the Executive Director, senior managers and division.
- Enable efficient functioning of the division by ensuring effective communications between the Executive Director, divisional managers, department and external stakeholders.
- Assist Executive Director by triaging all communications, electronic and otherwise, prioritising those of strategic and executive importance for direct attention of the Executive Director.
- Secretariat for meetings as required including developing agendas, facilitating meeting requirements, record minutes and monitor status of action items.
- Co-ordinate input to meetings, report preparation etc for Executive Director.
- Establish and maintain appropriate processes and systems for the recording, storing and retrieval of information.
- Other divisional or department wide tasks and responsibilities, events, functions and projects as directed by the Executive Director
