**Duties will include but not limited to**:
- Promptly addressing client feedback and handling emergency bookings.
- Scheduling of personnel to job bookings using Assignar and Pronto.
- Scheduling fit for purpose trucks, plant and equipment in ERP to optimise utilisation.
- Providing effective and timely notifications to all relevant parties through Assignar and direct communication channels.
- Utilising third party web portals for resource and asset management compliance eg., RIW, Aqipa, Hammertech, 3D Safety, Eify.
- Revising schedules as needed due to changes in client requirements, resource availability, shortages, interruptions, or to enhance optimisation.
- Collaborating closely with the Workshop and Yard teams to maximise the availability of asset resources.
- Coordinating and collaborating with Plant Manager and Operations Business Administrators to ensure maintenance of operator and asset certification and competency.
- Ensuring compliance with company policies and procedures related to client requirements, licensing obligations, rail compliance training, fitness for duty, and fatigue management.
- Utilizing the ISO 9001 certified Integrated Management System documentation on SharePoint effectively.
- Communicate schedules and work requirements to drivers, operators and workshop.
- Liaising with internal and external stakeholders, regarding rostering and work order related matters.
- Availability to take after hours calls (on-call) on weeknights and weekends as per roster.
- Strong communication skills - Ability to effectively interact with clients, stakeholders, and team members both verbally and in written form.
- Proficiency in managing bookings, scheduling personnel, and coordinating resources to ensure efficient operations.
- Attention to detail.
- Adaptability - Capacity to handle emergency bookings, adjust schedules, and accommodate client and resource availability changes.
- Experience working with software systems such as Assignar, Pronto, ERP, SharePoint, and third-party web portals for compliance and resource management.
- Aptitude for working collaboratively with various departments, including Workshop, Yard, Plant Manager, and Operations Business Administrators.
- Familiarity with licencing obligations, rail compliance training, fitness for duty, and fatigue management to ensure rostering compliance.
- Availability for on-call duty - Willingness to be accessible for after-hours calls on weeknights and weekends according to the assigned roster.
