Gladesville Veterinary Hospital is looking for a warm, organised, and proactive Lead Receptionist to oversee our reception operations, support our client service team, and work closely with the clinical leadership group to make our workflows more effective and our client experience even stronger.About The RoleAs Lead Receptionist, you will take on a dual responsibility: managing the daily duties of a receptionist while also serving as the point person for the reception team.
You will:Act as the Driver of the Day – our daily workflow coordinator and team motivatorProvide daily support and leadership to the reception teamBe the first point of contact for day-to-day issues or queries, before they escalate to the Practice ManagerCollaborate with the Practice Manager, Lead Vet, and Head Nurses to refine systems, checklists, and proceduresTroubleshoot daily challenges and ensure the smooth running of the reception areaDeliver outstanding client service to pet owners and their animalsWho You'll Work WithYou will join a supportive and friendly team of veterinarians, nurses, animal attendants and fellow receptionists, all working together to provide exceptional care.
This role works closely with the Practice Manager and broader leadership team, with real opportunity to contribute to team culture and operational improvements.Key ResponsibilitiesOversee and support the day's appointment schedule and reception team workflowEnsure a consistently high level of client service at the front desk and over the phoneMentor and train new receptionists to VetPartners standardsAssist with reception team rostering, performance check-ins, and ongoing developmentTake the lead in updating and maintaining protocols, templates, and communications toolsLiaise closely with the clinical team to maintain smooth patient transitions and effective communicationEssential Skills & ExperiencePrevious experience in a veterinary reception or comparable healthcare customer service roleStrong organisational and time management skillsConfidence in leading a small team and managing day-to-day operational issuesHigh-level interpersonal and communication skillsAbility to remain calm, professional, and solutions-focused under pressureFamiliarity with veterinary practice management software (e.g., RxWorks or similar)A genuine passion for helping people and animalsWhat We OfferA pivotal role in a respected, long-standing veterinary hospitalThe chance to make a real impact on team culture and client satisfactionCareer development opportunities and leadership mentoringAccess to continuing education and training resourcesStaff discounts on veterinary services and productsA supportive and values-driven work environmentLocation: Gladesville, NSWPosition Type: Full-timeStart Date: NegotiableApply NowIf you're ready to take the next step in your veterinary reception career and lead with purpose, we'd love to hear from you.
