HR and Finance Team Leader

**Position Summary**
The **Receptionist and Administrative Assistant** plays a key role as the first point of contact for clients, visitors, and staff. This role is responsible for ensuring a warm, professional, and efficient front office experience while providing administrative support to the wider team. This position requires excellent communication, multitasking, and organisational skills with a strong focus on confidentiality and customer service.
**Key Responsibilities Reception Duties**
- Greet clients, staff, and visitors in a professional and friendly manner
- Manage incoming and outgoing mail and deliveries
- Maintain a tidy and welcoming reception area
- Assist clients with check-in procedures and appointment bookings
**Administrative Support**
- Maintain accurate and up-to-date records and staff information
- Support scheduling and calendar management for clinicians or leadership
- Prepare and distribute documents, reports, meeting agendas, and correspondence
- Maintain office supplies and place orders as needed
- Assist with data entry, filing, and document management
- Handle scanning, photocopying, and printing duties
- Support HR or finance teams with admin-related tasks (e.g., onboarding paperwork, timesheets and rostering)
**Operational Support**
- Assist with coordination of meetings, trainings, and events
- Help ensure workplace policies and procedures are followed
- Liaise with external service providers (maintenance, deliveries, etc.)
- Support record-keeping and reporting as required by the management team
**Assist in Rostering**
- Coordination and planning with all managers to understand rostering requirements
- Forward scheduling of all rostering requirements and coordination of shift swaps and fills in line with participant needs and Rostering & Leave Guidelines
- Coordination with Payroll to ensure accurate shift data prior to processing
**Key Selection CriteriaQualifications & Experience**
- Certificate III or higher in Business Administration or equivalent (preferred)
- Experience in a receptionist or administrative role (1-2 years minimum)
- Experience in health, disability, or community services (desirable)
**Skills & Attributes**
- Excellent verbal and written communication
- Strong time management and multitasking ability
- High attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information
- Friendly, professional, and client-focused attitude
- Confidence with Microsoft Office (Word, Excel, Outlook) and office technologies
- Familiarity with CRM or scheduling systems (e.g., Penelope, Microkeeper, etc.) is an advantage

- Working with Children Check (if applicable)
- NDIS Worker Screening Check (if applicable)
- Right to Work in Australia
- COVID-19 Vaccination (if required under health directives)
- Valid driver's license (Essential)
- Full Comprehensive Car Insurance (Essential)
