
Front Of House Receptionist

**Face forward**
As our front of house, you will be the ambassador of our clinic's first impressions and the all-important first touch point in the Face by SM experience for each one of our valued guests and visitors.
It will be your foremost responsibility to warmly welcome all incoming guests and visitors, guide them through the check in process and immediately assist them with any enquiries or additional requests.
You will be required to promptly answer phone calls, whilst simultaneously be across multiple communication platforms, actioning enquiries and directing all correspondence to the appropriate channels.
You will also need to perform various admin duties including receipt and distribution of deliveries, filing, stock management, reporting and any other ad hoc requests that arise no two days are ever the same
**A day in the life of**
- Answer incoming telephone calls, action appropriately in a helpful and informative manner
- Greet all visitors and guests with a friendly, professional disposition and determine their nature and purpose of visit.
- Check in all guests in compliance with covid safe procedures and liaise with clinician/therapists in efficient and effective time management of their bookings.
- Receive, process, distribute and prepare correspondence, mail, messages and courier deliveries
- Schedule appointments, maintain and update calendars and appointment reminder correspondence
- Process payments (cash & credit card), record receipts via spa software system and reconcile daily takings.
- Take and resolve feedback and complaints from customers and the public, being positive and resilient to negative criticism.
- Assist with ad hoc admin tasks and general cleanliness and upkeep of the clinic.
**The absolute essentials**
1-2 years of proven experience in a front desk receptionist role
Experience with spa software such as Kitomba ideal, however experience with alternative diary software and databases will be considered
Experience in similar industry preferred, however not essential if there is a genuine interest and passion to and willingness to take on essential training
A genuine people person with well-developed interpersonal skills
A natural affinity to interact with people in a personable and courteous manner
A polished personal grooming standard
Excellent written and verbal communication skills with customer service focus
Ability to prioritise tasks according to importance in a fast-paced environment
Multi-tasking capability without compromising on quality
Be an active team player and champion teamwork
Open to take feedback and constructive criticism onboard in continuous self-improvement and development
Must be proficient across multiple communication platforms and be able to juggle multiple platforms at once
Dependable, punctual, and flexible with working extended hours
Hands-on experience with use and maintenance of office equipment
Basic knowledge of Microsoft Office Applications, specifically MS Word and Excel

**Salary**: $30.00 - $35.00 per hour
