Award/Classification: Tasmanian State Service Award - General Stream Band 4Salary: $83,011.00 to $95,547.00 per annumHours: 73.50 hours per fortnight with flexible options available.
Major Functions Provide superior, confidential Executive Officer support to the Chief Executive Officer, Senior Leadership Group members, Board of Directors and committees; manage commercially sensitive matters; coordinate meetings, travel itineraries and functions; administer and oversee Ministerial correspondence.Prepare confidential documents, compile agendas and board papers; ensure materials are accurate and available; monitor action items and work assignments; advise on deadlines, systems and policies as required.Manage the CEO's diary and liaise with the executive team, external stakeholders and other Government entities; act as the first point of contact between the public, Heads of Government Agencies, Ministers offices and the CEO.Coordinate and support the Complaints Handling Procedure, including advising, developing and recommending approaches to achieve objectives; track activities to meet compliance timeframes.Collaborate with the WHS Committee and managers to coordinate facilities operations across all four office locations; ensure safe, compliant working environments; organise maintenance, audits and corrective actions as needed.Serve as the first contact for property managers in the administration and renewal of lease contracts for four statewide tenancies; facilitate communication, process lease agreements, and address lease-related inquiries; monitor terms for compliance and renewals.Liaise with diverse stakeholders including Government agencies and the public to obtain and provide information, ensure timely responses and maintain workflows.Maintain a Contractor Management Register to track, evaluate and ensure contractor compliance; collate licences and insurances and ensure safety and regulatory standards are met.Provide high-level support to the Marketing team as needed; produce high-quality documents and public-facing materials for the Public Trustee's website in line with branding guidelines.Perform other duties consistent with the assigned classification and the occupant's skills, competence and training.
Requirements Pre-employment Checks The Head of State Service requires the person nominated for this vacancy to satisfy pre-employment checks before taking up the appointment.The following checks are to be conducted:Arson and fire setting; Violent crimes and crimes against the person; Sex-related offences; Drug and alcohol related offences; Crimes involving dishonesty and deception; Making false declarations; Malicious damage and destruction to property; Serious traffic offences; Crimes against public order or relating to the Administration of Law and Justice; Crimes against Executive or the Legislative Power; Crimes involving Conspiracy.Disciplinary action in previous employment may also be considered.
