In the role of Business Officer (Correspondence), you will assist the Program Delivery and Operations (PDO) branch in producing and maintaining a high standard of executive and ministerial correspondence management. You will be responsible for supporting and monitoring the inwards and outwards flow of correspondence, including the maintenance of a correspondence management system within required timeframes. Assisting the Principal Advisor (Executive Services) and Manager (Office of the General Manager) you will identify emerging issues and/or trends in incoming correspondence.
**Some of your responsibilities will include**:
- Monitor and track correspondence and briefing notes in a timely and efficient manner, ensuring deadlines are met and high-quality standards are maintained.
- Provide advice and support to officers in the use of Doctrak and associated systems.
- Ensure all records are managed appropriately in electronic and physical form in line with government and departmental policy and practices.
- Provide office logistics support (purchasing of office supplies, bookings, and minor equipment), file management, electronic mail, and other office systems.
- Maintain business relationships with other government agencies on correspondence protocols and PDO business issues.
- Organise and coordinate meetings and conferences, including coordinating attendance, papers, venues, and catering.
- Coordinate incoming mail and general building services for the Office of the General Manager.
