**About 4Cs**

Canterbury City Community Centre (4Cs) has been delivering services to residents of the
Canterbury Bankstown and Inner West Local Government Areas since 1972. Its origins are
a locally based neighbourhood centre promoting community development and capacity
building it is also now a leading local provider of Aged Services under the Commonwealth
Home Support Program (CHSP) and Home Care Packages Program.

The 4Cs is an Approved Aged Care Provider, Public Benevolent Institution, an NSW
Incorporated Association and a Registered Charity. It employs over 50 staff, 80+ Volunteers
and delivers services out of 2 sites in Lakemba and an Administration hub in Belmore.

The Data and Information Officer position provides administrative support to the whole
of organisation based on the presentation of information and data. This includes
maintaining an efficient data and records systems which demonstrates the 4Cs services
to the community, supporting our elderly residents, women, migrants, refugees, families,
people from CALD and Aboriginal and Torres Strait Islander communities. Whilst the
role is focused on collecting data and information for the Aged Services division, its
responsibilities extend across 4Cs programs.

**Responsibilities**

Position Description Data and Information Officer 1

**Administrative responsibilities**:
Attend 4Cs Strategic Planning days and any additional planning days for CHSP
services.

Assist program staff to undertake annual client surveys through distribution of
surveys and collation of results.

Work with the CEO, Operations Manager and members of Executive to evaluate
projects which maximise our understanding of the impact of 4Cs' work.

Work with 4Cs vendors and contractors to ensure that services rendered meet the
needs of the 4Cs, fees charged are competitive and work scope remains relevant.

Work with the Operations Manager on the implementation of the Operations Plan
and any other activities as directed by the Operations Manager and/or CEO.

**Effective workplace relationships and responsibilities**:
Maintain effective working relationships.

Participate in relevant committee meetings and training days.

Establish and maintain effective working relationships with multiple external
stakeholders, including IT and Data Management Service Providers.

Work closely with the IT Systems Development Officer at 4Cs.

**Work, Health and Safety responsibilities**:
Participate in providing a safe working environment for staff and volunteers.

Attend as directed by the Operations Manager internal committee meetings.

**Principal Tasks**:
Assist with the preparation of reports that present data and information.

Contribute to the uplift of the 4Cs reporting culture and systems.

Process Criminal Records Checks, maintain a register for all staff, volunteers, and
Board members.

Maintain Staff, Board and Volunteer HR registers of other relevant information.

Maintain a Register of business and compliance information of independent
Contractors.

In consort with the IT Systems Development Officer, maintain all registers in a state
of readiness for internal and external audits.

Upload data to government agency portals on a regular (monthly) basis.

Support program level Staff as needed to ensure they meet their data entry targets.

Ensure that information meets Aged Care Quality standards as well as the 4Cs Policies
and Procedures.

Undertake any other duties as directed by the Operations Manager.

**Knowledge, Skills, and Experience**

**Essential Criteria**:
Relevant qualifications and experience in administration and data entry.

Experience and/or knowledge of the Commonwealth Home Support Program and
Home Care Packages Program.

High level organisational skills and well-developed communication skills.

Commitment to undertake work in an efficient and accurate manner.

Understanding of issues impacting the frail aged, and their carers.

Minimum 3 years' experience in a similar role.

Teamwork, good communication and organisational skills.

Demonstrated understanding of regulatory frameworks and a commitment to
meeting compliance requirements in a complex medium sized organisation.
