Overview
Executive Assistant to the Director, Sales & Service at Auto & General Australia. This is a 12-month secondment from September 2025, split between our North Lakes and Kawana Waters offices, with an expectation of 3 days per week in the North Lakes office. You will provide executive administration support and help create an open, accessible environment with proactive issue resolution.
Responsibilities
Provide calendar management, including scheduling divisional meetings and liaising with a variety of stakeholders to book meetings, ensuring information is in place for all meetings.
Prepare presentations, analyses, reports and papers on behalf of the Director, ensuring all are accurate, proofread and submitted to required deadlines.
Monitor emails and use judgement to escalate urgent matters, including managing complex, confidential and sensitive information discreetly.
Assist the Director to prioritise work activities using judgement to filter urgent and important activities.
Assist the Director and S&S Leadership in employee engagement activities and promote a positive team culture, including coordinating offsites and team events within timeframes and budgets as required.
Monthly expense reconciliation for the Director's corporate credit card, as well as review and approval of GM expenses and credit cards, and monitoring of the divisional budget.
Work closely with the wider EA cohort along with the S&S PA team to drive process improvements and awareness of events and changes, ensuring performance coaching, mandatory training and engagement surveys are completed by divisional employees to support a cohesive one-team environment.
Effectively lead the onboarding and induction of the Senior Leadership Team and Personal Assistants within the team.
Qualifications
Minimum 3-5 years administrative experience at a senior level.
Demonstrated ability to proactively establish priorities, anticipate needs and use sound judgement to manage complex, confidential and sensitive activities.
Proven organisational and time management skills, along with resourceful and logical thinking.
Self-starter with excellent ability to multitask, prioritise and work under pressure with strong attention to detail.
Strong interpersonal and influencing skills, and proven experience in identifying process improvements and proactively suggesting improvements to the appropriate stakeholders.
Advanced skill level in Google applications and office management software (travel, expenses, etc).
