**The Opportunity**

We have an exciting opportunity for a Client Services Assistant to join our Melbourne office. This role is responsible for running Front of House/Reception as well as the workplace function, ensuring that the office environment and facilities are maintained to a high standard to ensure that business needs are met.

The role will job share with a front of house Client Services Assistant, with a particular focus on back of house services. The role will evolve as the Melbourne office expands and business requirements change.

**Key Responsibilities**
- Reception call handling, ensuring that phones are covered at all times and coordinating reception phone cover when needed i.e. breaks, absences.
- Manage meeting room bookings and organise the use of reception area and meeting room spaces.
- Arrange regular services and maintenance, obtaining quotes and liaising with contractors and service providers to see that office and facilities are in good condition and operational.
- Liaise with building management in regard to tenancy and building matters.
- Oversee desk bookings and plan office resources accordingly.
- Process invoices through Chrome River for payment within payment terms.
- Assist to keep processes updated including emergency procedures and business resilience plans.
- Provide input around team workflow and office procedures and systems and work with Manager and team to continuously improve the efficiency and effectiveness of work processes.
- Assist with a variety of projects across offices and teams when needed.

You will be a self-starter who is extremely organised, proactive, responsive and able to work on their own initiative. You will also have the following skills and attributes:

- Exceptional organisational, time-management and administrative skills.
- An ability to build relationships quickly with a wide range of people, with the confidence to work with senior people across the firm.
- Ability to work well in a team environment and with limited supervision.
- Ability to multi-task efficiently and effectively.
- Calm, methodical approach.
