The Opportunity:

We are seeking a highly motivated Administration Support Officer to join our team at our head office. This role is ideal for someone with strong administrative skills and a passion for keeping things running smoothly behind the scenes.

You'll play a key role in supporting our maintenance operations by creating jobs, scheduling staff, and using job costing systems to ensure work is delivered efficiently and accurately.

This is a permanent full-time position, working Monday to Friday.

Key Responsibilities:


• Create and manage maintenance jobs using our job costing system


• Schedule field staff and subcontractors to ensure timely job delivery


• Coordinate with clients regarding job bookings, access, and updates


• Raise purchase orders and process supplier invoices and credit notes


• Assist with quote follow-ups and invoice preparation


• Monitor and manage customer portals, job updates, and documentation


• Set up new suppliers and subcontractors in internal systems


• Provide admin support to managers, supervisors, and on-site personnel


• Track job progress and support reporting and compliance documentation

About You:

To thrive in this role, you will need:


• –5 years' experience in a similar scheduling, coordination or admin role


• Experience using job costing systems or maintenance management software (e.g. Strong Microsoft Excel and general computer skills


• Excellent communication skills – both written and verbal


• Strong attention to detail and ability to manage competing priorities


• A customer-focused attitude and ability to problem-solve on the go
