The Opportunity:
This exciting opportunity is a full-time permanent position based in our Seven Hills Office. The Bids Administrator role is responsible for supporting the preparation, coordination, and submission of tenders, proposals, and related documentation. Working closely with the Bid/Business Development team and technical experts, the Bids Administrator ensures all submissions are completed on time, meet client requirements, and are presented to the highest standard.
The role also involves maintaining bid registers, formatting and editing documents, coordinating input from multiple stakeholders, and ensuring compliance with internal processes and external submission criteria. In addition to bids administration, this position provides supplementary support to the broader administration function, including backfill for Office Administrators when required, to ensure the smooth day-to-day operations of the office
The Key Responsibilities
- Coordinate the preparation, formatting, proofreading, and timely submission of tenders, proposals, and bid documentation, working closely with the Bid Manager and internal stakeholders across technical, commercial, legal, and corporate teams.
- Maintain and update bid registers, CRM records, templates, bid libraries, and customer tender portal status to ensure accurate and accessible information at all times.
- Manage timelines, version control, and submission processes to meet deadlines while ensuring all content aligns with client requirements, internal quality standards, and relevant legislation.
- Track bid outcomes, prepare post-bid reports, and assist with research on clients, competitors, and market trends to support bid planning and strategy.
- Provide general administrative assistance to the Bid/Business Development team, ensuring smooth coordination of activities and consistent quality in documentation.
- Collate, analyse, and reconcile data on past, current, and upcoming opportunities for inclusion in required documents such as but not limited to the Board report, while ensuring accuracy, consistency, and completeness
- Backfill the office administration function as required, assisting with reception, office coordination, document control, and site-wide initiatives such as events, compliance processes, or audits.
The Ideal Candidate:
Essential:
- 1-2 years of relevant experience, ideally including exposure to bids, proposals, or business development processes.
- Experience in administrative, coordination, or support roles.
- Strong organisational skills with the ability to prioritise tasks and meet deadlines.
- Good written communication, proofreading, and document formatting skills.
- Attention to detail and accuracy in preparing professional documents.
- Competent in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work collaboratively with internal stakeholders and follow guidance from senior team members.
- Willingness to learn and develop skills in bid administration and business support functions.
- Professional approach and ability to handle confidential information appropriately.
Desirable:
- Exposure to Customer Relationship Management System (SAP preferrable).
- Certificate III or IV in Business Administration, Office Administration, or a related field or equivalent work experience.
