About the Company
HealthShare Victoria is a Victorian public sector entity established on 1 January 2021 as an independent, commercially oriented public sector provider of supply chain services (surety, procurement and logistics) to Victoria's public health sector. Our purpose is to partner with Victoria's public health services, suppliers and government to ensure the right products and services are delivered to the right place at the right time, supporting better value for our public health services and better outcomes for their patients. We work with Victoria's public health services to understand their requirements. We meet these needs by establishing collective agreements (purchasing contracts) for medical consumables, pharmaceuticals and medical equipment, as well as non-medical products and services they need via large-scale tenders. We also play a critical role in ensuring Victoria's public health services have access to goods and services that may be in higher demand or difficult to access, including personal protective equipment (PPE), medical consumables, ICU equipment and pharmaceuticals. We administer several compliance-related functions, and work with health services to assist them in meeting their legislative, compliance and probity obligations. As well as providing an end-to-end health supply chain for Victoria's public health services, we extend access to our collective agreements to health or related services assessed as 'eligible services'. Building on a spirit of change and transformation, our work supports our health service customers to deliver safe, high quality and sustainable healthcare for all Victorians.
About the Role
The People Culture and Safety Coordinator (PCS Coordinator) is responsible for providing administrative support across all areas within the People, Culture and Safety (PCS). The PCS Coordinator delivers high quality and timely services for employee lifecycle initiatives, acts as a reference point for operational processes and procedures and supports PCS organisational-wide activities. Due to the nature of information this position may encounter, including confidential health-related information, this position requires a high level of professionalism and confidentiality at all times.
Responsibilities
PCS Administration
- Contribute to PCS projects by providing administrative support and identify areas for continuous improvement to facilitate process improvements for the PCS team, people leaders and HSV employees.
- Work collaboratively with the Head of PCS Business Partnering and Business Partners to provide timely administrative support for multiple projects and employee lifecycle activities, involving cross collaboration and organisational-wide PCS initiatives.
- Oversee and contribute to the preparation and submission of PCS reports, ensuring contributors meet deadlines and reports align with organisational standards, data integrity and accuracy is maintained.
- Provide administrative assistance for recruitment activities (i.e. background checks, scheduling interviews and drafting contracts and offer letters), internal movements, probation periods, and performance management tasks, ensuring processes are completed within established timeframes to ensure compliance.
- Manage onboarding and offboarding processes, including scheduling inductions and ensuring a positive experience for employees joining or leaving HSV.
Reporting and HR System Management
- Act as a super user for all PCS systems including, but not limited to: HRMS, UKG, Power BI PCS Dashboard, Safety Event Reporting System (MyOSH), Risk System.
- Conduct training sessions for employees and leaders on relevant PCS systems (i.e. Health and Safety Management Systems, HRMS, UKG and Learning Management Systems).
- Update HR Information and OHS management systems to ensure they reflect people and organisation changes.
- Provide reporting across all areas of the PCS portfolio, including regular PCS reporting and ad hoc reporting when requested.
- Coordinate, track and report on employee lifecycle activities including performance review cycles, probation management, staff professional development, employee induction, talent management, training and other relevant HR processes.
Health, safety and wellbeing (BeSafe)
- Follows safety rules and takes responsibility for safety at a personal and team level to reduce risk to others.
- Reports hazards, incidents and injuries and takes part in actions to eliminate hazards.
- Shows a sense of urgency when safety issues arise.
- Makes safety a part of the everyday by talking about ideas for improvement.
- Attend BeSafe activities, forums and training to help create a robust safety culture at HSV.
Qualifications
Academic
Relevant tertiary qualifications in Human Resources, Commerce, Business or a related discipline, or equivalent experience gained through employment in a relevant field.
Experience
- Strong administration skills ideally gained in a fast-paced Human Resources, Talent Acquisition or OHS position.
- Return to Work Coordinator (desirable).
- Proven experience in dealing with people and PCS teams in a similar role with a customer service focus.

- Excellent communication skills.
- Impeccable organisation, attention to detail, time management skills and the ability to work under pressure and prioritise competing deadlines.
- Strong analytical and problem-solving skills.
- Collaborative team player with the ability to build rapport and positive relationships with all team members.
- Strong ability to demonstrate initiative and work independently with limited supervision
- Well-developed sense of diplomacy, discretion, and confidentiality.
- Ability to manage and prioritise multiple concurrent tasks, meet tight deadlines and work flexible hours as required to meet business needs.
- Intermediate to advanced proficiency across MS Office suite, particularly MS Word and Excel.
- Experience of working with HR and OHS Information Systems.
- Excellent document management skills and sound experience updating and managing templates.
