About the role

The Digital Engagement Officer provides critical support to the executive team by managing the Foundation's CRM (Zoho), leveraging data insights and AI business strategies, and coordinating events to strengthen engagement and fundraising. This role is ideal for a motivated early-career professional with a strong technical background who wants to contribute to a small, dedicated, purpose-driven team and help nurture Australia's next generation of leaders.

Key responsibilities

• Manage and maintain the Foundation's CRM (Zoho), ensuring data integrity, accuracy and compliance to support the executive team.
• Design and implement CRM processes and reporting aligned with Foundation objectives.
• Assist in coordination and delivery of Foundation events — both in-person and via CRM integration — including logistics, stakeholder communications and follow-up.
• Support the implementation of AI-driven processes to enhance reporting, engagement and business operations.
• Undertake research to identify potential donors, funding opportunities and bequest prospects.
• Provide training and ongoing support to staff in the effective use of the CRM and AI-enabled tools.
• Contribute to broader Foundation initiatives and cross-team projects as needed including assisting with the preparation of proposals, impact reports and other communications as required.

Relationships

The CRM & Data Officer works collaboratively across the Foundation's small team and with key external stakeholders. Key internal relationships include:

• Chief Executive Officer – reporting line and strategic oversight.
• Executive Director, Engagement – collaboration on stakeholder engagement, events, fundraising opportunities and donor research.
• Executive Director, Leadership Academy – coordination on alumni, scholar and program-related data and reporting.
• Chief Financial Officer – alignment on financial reporting, donor management and compliance.
• Scholarships Manager – coordination on scholar data, selection processes and reporting.
• Media and Communications Officer – integration of stakeholder data to support marketing & communications, media campaigns and reporting.

Key external relationships include:

• Donors, partners and bequest prospects.
• Alumni and current John Monash Scholars.
• CRM platform providers and technical support.
• Pro-bono business partners, suppliers and contractors as required.

Key selection criteria

The successful candidate will demonstrate:

• 1–3 years' experience working with CRM platforms (Zoho or equivalent) for stakeholder management and reporting.
• An understanding of AI business strategy and its practical application to data management, reporting and engagement.
• Experience coordinating events, including planning, logistics and stakeholder communications.
• Strong interpersonal skills with a warm, professional and collaborative approach.
• Excellent written and verbal communication skills (proposal writing experience highly regarded).
• Highly organised with strong attention to detail.
• Strong analytical skills and financial literacy, including spreadsheet management.

Qualifications

• Tertiary qualification in business, communications, IT or equivalent field.
• CRM certifications (Zoho or equivalent) are highly regarded.
