Melbourne, Victoria, Australia Victorian School Building Authority Full time $72,000 - $102,000 per year

Program Advisor | Fixed Term - Full Time

About the Department

The department provides a wide range of learning and development support and services.

The department provides policy leadership, plans for the future of education in Victoria and leads key cross-sector collaboration. The department plays an important system steward role by providing support, guidance, oversight and assurance across early childhood and school education systems, as well as directly providing school education and 50 new early learning centres.

About the Victorian School Building Authority

The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s.

The VSBA upgrades and expands existing schools and plans, designs and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants.

With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early childhood sector on a massive kindergarten construction program.

About the Division

The Asset Management Division helps schools maintain and manage their buildings and grounds and ensures they are more energy efficient. The Division trains school leaders as facilities managers and supports them to develop school maintenance plans. They coordinate programs, assessments, and systems to ensure schools are routinely maintained and cleaned.

The Division includes the Asset Management Branch, School Asset Management Support Branch, Facilities Branch, Maintenance Delivery Branch and the Programs Branch.

About the Role

The Kinder Facilities Management Unit manages and overseas a growing portfolio of early childhood assets through a hybrid service delivery model. This includes the VSBA being the asset manager for these facilities, with annual contracts and reactive maintenance delivered in partnership with an external party.

The Program Advisor provides support and assists in the service delivery and administration of the early childhood facilities management program. The successful candidate will be able to work collaboratively both within the team as well as with key stakeholders to ensure asset management tasks are planned for, monitored, completed, and reported on in a timely manner, while providing high levels of customer service to the early childhood operators.

The key responsibilities of this role include:

  • Providing administrative and project coordination support to the team across all aspects of service delivery, ensuring expectations and communications are clear, and are understood and agreed between all stakeholders.
  • Supporting the team in ensuring the program is administered, asset management tasks are completed, and that delivery, performance and financial targets of the program are met.
  • Building positive relationships with key internal and external stakeholders to facilitate and communicate the successful delivery of the service.
  • Working collaboratively across the VSBA and broader Department to manage information and processes, facilitating contact across multiple teams and stakeholders.
  • Collecting and maintaining accurate records and tracking products to support planning and reporting practices across the team.
  • Supporting the development of new and updated business processes, communications collateral, and other documentation to support the delivery of the program.
  • Identifying, coordinating, and producing reports and written communication that support effective decision-making by VSBA Executive, the Department, and Government.
  • Other duties as instructed to support the achievement of organisational goals.

All VSBA staff have a shared responsibility to meet the same service standards outlined in the VSBA Customer Service Charter. Our goal is to make every interaction with the VSBA a positive one for our customers, colleagues and key partners regardless of our individual role or team.

Attributes

The ideal candidate will have strong stakeholder management skills, be flexible and adaptable, and have well developed communication and written skills.

Desirable Qualifications and Experience

  • Desirable : a tertiary qualification relevant to the role
  • Desirable : considerable/demonstrated experience similar role within government
