We are looking for a full-time Property Manager to join our Sydney CBD office. Reporting directly to the Portfolio Manager, this role is to optimise the performance of the portfolio under management including maximising rental income, controlling expenditure, completing negotiations as well as timely reporting to clients and client relationship management.

This role is responsible for providing Administrative and Property Management systems support with respect to a government property portfolio within the Stanton Hillier Parker Asset Management Department and reports directly to the Portfolio Manager.

Principal Accountabilities:

  • Providing Administrative assistance to the service delivery team and ensuring PMA obligations are met
  • Ensuring that appropriate systems, procedures, policies and practices are put in place and followed with ongoing review to achieve continuous improvement in the management of the Property Portfolio
  • Maintaining and developing effective relationships between the Property Portfolio team and clients, occupants, third party contractors and other relevant stakeholders
  • In-person attendance at monthly meetings and or any other required meetings
  • Assisting the Portfolio Manager with all issues (major and/or minor) affecting the Property Portfolio which have the potential to escalate

In addition to the duties set out above, you are expected to perform such duties as may from time to time be assigned to you by the Company.

Key Performance Areas:

1. Lease Administration

  • Lease and tenancy documentation is comprehensive, current and up-to-date
  • Lease compliance and revenue issues are addressed in a timely manner including arrears management, insurance compliance, tenant notifications etc.
  • Streamlined processes and reduce effort, timelines and costs through process automation

2. Financial Management

  • Accurate dependable forecasts of revenue and expenditure
  • Consistent achievement of revenue and expenditure targets
  • Revenue from the portfolios is optimised with operational costs understood and incorporated into leasing fees
  • Invoicing is completed in a timely manner resulting in measurable improvements in cash flow and revenues to our clients

3. Data Management and Reporting

  • Collection and maintenance of accurate, complete and up to date data
  • Provision of accurate and timely reports and information
  • Provision of access to our clients of key data including dashboard reporting on current status and issues

4. Customer Management

  • Stakeholders report an improved level of service and communication
  • Development and maintenance of effective relationships with all stakeholders including tenants
  • Attend monthly client meetings with the Portfolio Contract Managers

5. Risk and Compliance

  • Proactive identification and communication of risks
  • Compliance with all legislative and client obligations
  • Maintenance of accurate and complete records for audit and compliance purposes

Key Requirements:

  • 2-3 year experience in a property related role in property management, lease administration or corporate real estate.
  • Hold or obtain current Certificate of Registration – Assistant Agent, at a minimum.
  • Ideally has tertiary qualifications in a relevant discipline such as property, finance, commerce or business or an equivalent qualification.
  • Ideally having experience working with Government property portfolio and personnel.
  • An understanding of commercial leases, licences and property documentation desirable.
  • Competent computer skills (Property Management Software, MS Word, Excel, PowerPoint and Teams).
  • Strong verbal and written communication skills.
  • Self-motivated and collaborative individual who is highly organised with a high attention to detail and accuracy.
